F. Parks Department staff will maintain the grounds. Standards <br />have been set for minimum acceptable performance and they will be <br />maintained. Fertilization, aerating, reseeding, pruning etc. will.be <br />done on a scheduled basis. Mowing will be done weekly during the <br />growing season and as needed the rest of the year. <br /> <br />G. Common areas will be picked up daily by the custodial staff. <br />These common areas will be cleaned, vacuumed or hosed down on a <br />schedule as determined by necessity. <br /> <br />H. During the pre-occupancy conference residents will be counseled <br />to report maintenance problems as they occur to the office. They are <br />also counseled what the procedures are for after hours emergencies. <br />Monthly, a newsletter will be produced which will also serve as <br />continuing education in this matter. <br /> <br />PROGRAM FOR MAINTAINING ADEQUATE ACCOUNT RECORDS <br /> <br />A. All accounting and purchasing procedures will be consistent with <br />the Department of Housing and Urban Development guidelines, the City <br />of Pleasanton requirements and good accounting practices. <br /> <br />B. Reporting requirements will be handled by the on-site staff <br />giving information to the City of Pleasanton Finance Department for <br />computer print outs. <br /> <br />C. Residents certifications and recertification will be maintained <br />on-site in the management office in each resident's file. When a <br />resident vacates a unit, the closed files will be kept for three (3) <br />years. <br /> <br />D. Checks will be written by the Finance Department of the City of <br />Pleasanton, after the approved bill and a copy of the original <br />purchase order are approved for payment by the Director or Manager. <br />The on-site office will receive verification of the payment through a <br />monthly check register. <br /> <br />In addition, monthly financial statements will be prepared which <br />compare operating results with budgeted amounts. <br /> <br />F. The necessary parties will receive a copy of the monthly <br />accounting report by the fifteenth of the following month. <br /> <br />PLANS FOR RESIDENT-MANAGEMENT RELATIONS <br /> <br />A. Resident grievances will be handled by the Housing Manager <br />according to the existing Grievance Procedure of the Pleasanton <br />Housing Authority. <br /> <br /> - 5 - <br /> <br /> <br />
