Mr. Roush said the tapes are not official records of the City. Tapes are kept for five years
and then recycled. The minutes are the official record of the City. The Nelsons are welcome to get
a copy of the tape. He did not want to make the tape of any meeting a permanent record. The
minutes are to give the Council and the public a summary of what happened at a particular meeting.
The policy is not to keep the tapes permanently.

Ms. Nelson concurred. She would just like a more accurate summary done of the minutes.

Ms. Michelotti had a correction to the minutes; on Page 19, third line, "that the DeSilva
Group had done an excellent job, but he sail had concern with density."

Ms. Acosta indicated that at the Nelson's request staff has also made amendments to the
January 5 minutes which is before Council this evening.

Ms. Dennis thought in a case where there is an issue over staff's ability to accurately
summarize what was said, wouldn't it be faster and more efficient to just attach a verbatim
transcript.

Ms. Acosta said that it would be very difficult and did not want that to become the standard
in the future. The City' s policy is not to do verbatim minutes.

Ms. Michelotti said since the Council has not had a chance to review the amended minutes,
would Council be willing to adopt the minutes subject to leaving out the section Ms. Nelson is
referring to, until Council has time to review the changes.

Mayor Tarver suggested and Council agreed referring the matter to staff to look at
additional adjustments.

b. (IR99: 12)

Ms. Dennis commented that the report was very informative.

Pleasanton City Council 3 03/16/99
Minutes
