Administrative Policy <br />City of Pleasanton <br />September 1990 <br /> Page 3 <br /> <br />be <br /> <br />Ce <br /> <br />The employee's entry form is entered into a random drawing which takes <br />place around the 15th day of the following month. The winner is awarded <br />$50. <br />Federal law requires that all commute subsidies and incentives over $15 <br />a month be taxed for the full amount. Therefore, all drawing prizes will <br />be reported as income on the employee's W-2 form. <br /> <br />Commuter of the Year <br /> <br />ao <br /> <br />co <br /> <br />The drawing is held in July of each year to award the Commuter of the <br />Year prize for the previous f~scal year. <br />The names of all employees who entered the monthly drawing during the <br />year are placed into the random drawing. An employee's name is entered <br />into the annual drawing as many times as the employee entered the <br />monthly drawings during the year. Thereby, the opportunity to win is <br />proportionate to the consistent use of commute alternatives throughout the <br />year. The winner is presented with a gift certificate for a bed-and- <br />breakfast weekend for two. <br />Federal law requires that all commute subsidies and incentives over $15 <br />a month be taxed for the full amount. Therefore, the value of the annual <br />prize will be reported as income on the employee's W-2 form. <br /> <br />A transit subsidy of 25 % is provided employees who use the bus and/or train for <br />their commute mode. The following guidelines apply to the subsidy: <br /> <br />The subsidy is administered as a reimbursement. <br />An employee must present proof of purchase of the transit tickets or <br />passes (receipt or photocopy), complete the reimbursement form available <br />from the TSM staff in the Planning Department, and return the completed <br />form to the Transportation Systems Manager. <br />The approved form will be processed by the Finance Department for <br />reimbursement to the employee. <br />Federal law requires that all commute subsidies over $15 a month be <br />taxed for the full amount. Therefore, if the reimbursement per month is <br />over $15. the full amount will be reported as income on the employee's <br />W-2 form. <br /> <br />Special transportation events and promotions will be offered to employees <br />periodically to encourage the use of commute alternatives. <br /> <br /> <br />
