Exhibit 4: Task 3 Deliverables Deliverable Description Planning Meeting #1 • One-hour virtual meeting with the Planning Team facilitated by two members of the Tetra Tech team. • Tetra Tech will develop an agenda and presentation to guide the meeting. Stakeholder Interviews • Up to 10 one-hour virtual interviews with City departments and partners to collect information for plan, annex, and job aid development. First Draft Development • First draft of plan, functional annexes, and up to five job aids. • Documents will be provided for a one-week review period. Planning Team Meeting #2 • Up to a two-hour virtual meeting with the Planning Team facilitated by two members of the Tetra Tech team. • Tetra Tech will develop an agenda and presentation to guide the meeting. Second Draft Development • Draft plan, functional annexes, and job aids will undergo a technical, editorial, and quality review. • Documents will be provided for a two-week review and comment period. • Tetra Tech will address one round of comments on the documents before finalizing. Task 4: Plan Finalization EOP Presentation Tetra Tech will develop and deliver an EOP Presentation for City staff stakeholders to review the EOP scope, concepts, policies, organization, and key roles/responsibilities. This in-person meeting will also be an opportunity to orient staff to the plan activation and implementation procedures and provide an overview of the job aids and how to use them during an emergency response. This meeting is expected to last up to two hours and will be facilitated by two members of the Tetra Tech team. Final Documentation Following the presentation, Tetra Tech will submit the final project documentation to the City’s project sponsor. The plan and annexes will be provided in both Microsoft Word and Adobe PDF. Additionally, copies of planning meeting materials and completed sign-in sheets will be submitted. Exhibit 5: Task 4 Deliverables Deliverable Description EOP Presentation • Up to a two-hour in-person meeting to present the finalized plan, annexes, and job aids to City departments and stakeholders. • For the presentation, Tetra Tech will develop a presentation, agenda, and sign-in sheet.
