<br />5 <br />Exhibit 2: Task 1 Deliverables <br />Deliverable Description <br />Project Planning Meeting <br />• One-hour virtual meeting with the City’s project sponsor and Tetra Tech <br />project manager <br />• Determination of City staff who will be provided access to a Microsoft <br />Teams site to support the project <br />Project Work Plan <br />• Guide to drive project management. <br />• Tetra Tech will address one round of comments and will update should <br />provide schedule or deliverables change. <br />Kickoff Meeting <br />• Up to two-hour in-person meeting to introduce the planning team to the <br />project and their level of expected involvement. <br />• Two Tetra Tech team members will attend. <br />• Tetra Tech will provide a presentation, agenda, and sign-in sheet for <br />attendance. <br />Task 2: Data Collection <br />Documentation Review <br />Following the kickoff meeting, Tetra Tech will begin the project by conducting a documentation review. This will <br />include reviewing the City’s existing EOP and Annexes against the Cal OES EOP crosswalk, existing emergency <br />response policies and procedures, and emergency and exercise after-action reports. Tetra Tech anticipates <br />reviewing up to 1,000 pages of documentation in support of the EOP Update. <br />Annotated Outline <br />Using the information from the documentation review, and the Cal OES EOP Template as a guide, Tetra Tech will <br />develop an annotated outline for the EOP and Annexes. This will identify information that will be included in each <br />of the plan sections, data gaps that need to be collected from the planning team and other response partners, <br />and provide suggestions on checklists and job aids that may be developed to support the plan development. The <br />outline will incorporate key information from guidance documents including SEMS, NIMS, the NRF, CPG 101 v.3, <br />and focus on areas for addressing the needs of vulnerable groups and members of the disability, access, and <br />functional needs (DAFN) communities. <br />The outline will be provided for an up to two-week review period before the conduct of Planning Meeting #1 <br />outlined below in Task 3. <br />Exhibit 3: Task 2 Deliverables <br />Deliverable Description <br />Documentation Review • Review of up to 1,000 pages of relevant plans, policies, and procedures to <br />support the development of the plan outline <br />Annotated Outline <br />• Outline of the proposed plan and annex sections, key information to be <br />included in each of the documents, and suggested job aids to be <br />developed in support of the plan implementation <br />DocuSign Envelope ID: 617B9B2E-5FA3-4D49-A8B0-1A794D1CD9A7
