For all visible or accessible assets, Kayuga will record asset <br />attributes (e.g., size, type, material), assess current general condition, take note of any immediate and/or future <br />maintenance needs, take pictures, and record the location of the asset using the GPS coordinates. <br />The asset register is a key component of the asset management program. It establishes the data foundation to <br />support all asset management decisions and consolidates all data pertaining to the assets in the system. In addition, <br />the asset register will help to develop the City’s system of records (i.e., GIS database). The development process will be <br />comprised of the following steps: <br />•Gather existing data <br />•Define an asset <br />•Establish asset hierarchy <br />•Develop asset classes <br />•Develop an asset register <br />•Develop GIS layers <br />•Configure IRIS <br />The figure to the right shows the <br />example of IRIS window showing <br />asset hierarchy, asset attributes, and <br />photo. <br />The figure to the left shows an example of the IRIS map viewer window showing <br />asset location within a park. Each point and polygon on the map viewer can be <br />clicked to show asset details (i.e., attributes). <br />Deliverables <br />•Asset Inventory database (GIS layer, .csv files) <br />•Configuration and data upload for asset catalog, hierarchy, inventory, <br />and attributes in IRIS <br />3.Task 3 - Estimate Replacement Cost <br />The goal of this task is to estimate the replacement cost of each asset. The estimated replacement cost can provide <br />the City with an initial estimate to properly budget for the replacement of the asset. It should be noted that the <br />estimated replacement cost does not represent a CIP project cost. Engineering, project management, permit, <br />contingencies, and other direct and indirect costs are not typically factored in. For each asset, Kayuga will estimate <br />the replacement cost. The estimated replacement cost will be based on our historical work on similar projects, <br />manufacturer pricing, and/or review of the City’s financial and maintenance records.
