Page 2 of 4 <br />in field use efficiency across many co-sponsored sports organizations while continuing <br />to provide fields needed for each group and allowed staff to allocate fields to other <br />community users, maximizing the City’s sports fields. <br /> <br />Field use efficiency was calculated per site by dividing the confirmed field uses by the <br />number of visits, yielding the use percentage. During the fall season audits, the sports <br />field usage efficiency rose dramatically for each co-sponsored group and collectively. <br />The initial field use percentage for October 2023 was slightly over 50% amongst all <br />organizations. After constructive discussions, the overall field use percentage rose to <br />67% for November 2023. <br /> <br />The audits proved to be a very helpful tool in tracking sports field usage, promoting <br />discussion and collaboration with co-sponsored groups, and increasing field use <br />efficiency. With the increased field efficiency, staff will be able to better fulfill co- <br />sponsored organizations' needs, allow for field rentals from the general public, and <br />provide increased park access to the Pleasanton community. <br /> <br />DISCUSSION <br />The sports field audit process is summarized below: <br />Field Visits <br />For one month, staff visits each designated athletic field during evening hours of 4:00- <br />9:00 p.m. Staff attempts to make multiple site visits each evening. The number of visits <br />per site and time of visit varies according to the permit reservation, expected usage, and <br />amount of seasonal daylight. <br />Data Collection <br />Staff records field usage data on the Sports Field Audit Log (Attachment 1). Staff notes <br />the date and time of visits, checks if the fields are in use, and documents any additional <br />notes of interest. Photos of general field activity are also taken and archived should <br />questions arise about usage. <br />Data Submission and Management <br />After collecting the Sports Field Audit Logs, staff transcribes data from the daily log into <br />the Sports Field Audit spreadsheet (Attachment 2). The spreadsheet is designed to <br />calculate field usage statistics, as well as provide a summation cover page for that <br />month (Attachment 3). The statistics include the total number of visits, whether the field <br />is in use, a summation of usage percentage per day of the week, per athletic field, and <br />per co-sponsor organization. <br />Staff then shares and discusses the audit results with each co-sponsored sports <br />organization.
