<br /> <br /> <br />PARKS AND RECREATION COMMISSION <br />AGENDA REPORT <br /> <br /> <br />March 14, 2024 <br />Item 6 <br /> <br /> <br />TITLE: RECEIVE AN OVERVIEW OF THE SPORTS ATHLETIC FIELD AUDIT <br />PROCESS <br /> <br />SUMMARY <br />The City provides and allocates multiple sports fields and spaces to sports co- <br />sponsored organizations as well as the community at large. Along with updating the co- <br />sponsorship resolution and the Sports Co-Sponsorship Athletic Field Handbook, athletic <br />field audits were introduced in the fall of 2023 to promote collaboration with co- <br />sponsored sports groups, enhance transparency, promote efficiency and provide for <br />equitable use of the City’s sports fields amongst all users. <br /> <br />RECOMMENDATION <br />Receive an overview of the sports athletic field audit process. <br /> <br />BACKGROUND <br />The City provides and allocates multiple sports fields and outdoor spaces throughout <br />various parks for the Pleasanton community, including co-sponsored sports <br />organizations. Athletic fields include the Ken Mercer Sports Complex, Stanford Sports <br />Complex, Bernal baseball fields, Amador Community Park, Val Vista Community Park, <br />and Upper Bernal fields. Neighborhood parks used as athletic fields include Creekside, <br />Muirwood, Orloff, Hansen, Harvest, Del Prado, Tawney, and Woodthrush. While the <br />City maintains and allocates a large number of athletic fields, the demand for field <br />usage exceeds the ability to allocate unlimited or unscheduled field use by the co- <br />sponsored sports organizations. <br /> <br />In October 2023, athletic field audits were introduced as a tool to gain more insight <br />regarding field use, build collaboration with co-sponsored sports organizations, better <br />understand individual group needs, and provide more access to fields for broader <br />community use. <br /> <br />The audit provided a month-long snapshot of field usage compared to each co- <br />sponsored organization’s requests and allocated permits. Staff met with each group to <br />discuss the initial audit format and results, seek feedback, and make adjustments to the <br />audit spreadsheet and process. Fields showing long periods of non-use were also <br />identified. Potential field allocation givebacks from some of these co-sponsor groups <br />were identified. <br /> <br />Staff conducted a follow-up audit during the month of November 2023, with audit <br />adjustments and givebacks from the co-sponsored groups.
