Q: Is there a better way to post the field allocations and permit for field disputes or <br />to eliminate conflicts in the first place? <br /> <br />A: Field allocations are posted on the City website, listing each field and the <br />scheduled user. The allocation is accessible by all smart phone s. We also utilize <br />field permits, which can be shared electronically within your organization. <br />We will explore the possibility of field signage and notices, as well as the use of <br />posted QR codes that can link directly to field allocations. <br /> <br />2. Q: Priority Classification. Could you give an example of what the first and second <br />class activities might be that would get allocation prior to the co -sponsored <br />groups? This is answered in Section 5 of the Allocation Procedure Document. <br /> <br />A: This method of priority classification is from the 2011 document. We have used <br />the current practices from this document and incorporated relevant practices and <br />procedures into the 2023 handbook. <br /> <br />3. Q: Page 10: Non Use: Handbook states that you need to provide (5) days notice, <br />but there could be instances of foul weather, unexpected coaching unavailability, <br />etc that could lead to a cancelation of practice, etc. Might be worth noting that <br />unexpected instances of unused fields are acceptable within reason. <br /> <br />A: We understand unexpected cancellations may occur, particularly with volunteer <br />coaches. We will add a note to the handbook. <br /> <br />4. Q: In the Field Allocation Procedure document I had a few comments . Section 6 is <br />not abundantly clear to me how the quantity of space for each organization is <br />determined. Again, as a smaller organization, I can't see this being a problem <br />unless we grow to a point where we need more than one field per day during our <br />season. <br /> <br />A: We also found the 2011 procedure to be confusing. The practice has never <br />been implemented and will not be added to the 2023 handbook. Instead, we look <br />to continue the current practice of discussion and teamwork when working through <br />space issues, along with considerations listed on pages 7-8. These include in- <br />season sport, prior year allocations, Fair Play in Community Sports Act, <br />recreational vs competitive program, Residency percentage, hours of requested <br />use, user performance history, and total seasons established as a Sports Co- <br />Sponsor Organization. <br /> <br /> <br />Pleasanton Little League
