Scope of Work <br /> Preparation of Plans,Specifications and Estimates <br /> Sunol Boulevard/I-680 Improvements Project <br /> August 21,2023 <br /> of a project management plan for the project. This project management plan defines the <br /> roles and responsibilities of team members including subconsultants and subcontractors, <br /> task scopes, budgets, schedules, communications, and project staff contact information. <br /> The project management plan is organized into the following main sections: (1) Project <br /> Initiation, (2) Planning, (3) Executing, (4) Controlling and monitoring, and (5) Closing. <br /> Task 1.1 Project Administration <br /> AECOM will supervise, coordinate and monitor planning and design for conformance <br /> with Caltrans' standards and policies. This will include contract administration; <br /> subcontract procurement & management; task, schedule & cost monitoring; management <br /> of the project management plan; and weekly staff coordination. AECOM will submit <br /> project deliverables to City and/or Caltrans for review. <br /> Task 1.2 Scheduling <br /> AECOM will prepare and maintain a detailed Critical Path Method (CPM) schedule for <br /> the project, in consultation with City and Caltrans. This will include a baseline schedule <br /> that will be referenced. The schedule will be submitted to the City and Caltrans and will <br /> be updated during the life of the project, typically once per month. <br /> Task 1.3 Agency/Subconsultant Coordination <br /> AECOM will coordinate with the design team, subconsultants and all involved agencies <br /> including, those shown below for timely flow of information. AECOM will prepare a <br /> Caltrans encroachment permit application for conducting design field activities for the <br /> City's signature. <br /> • City of Pleasanton (City) <br /> • Caltrans (offices, departments, divisions and groups as directed by Caltrans <br /> Project Development) <br /> • San Francisco Bay Regional Water Quality Control Board(RWQCB) <br /> • Private property owners and developers (AECOM to prepare draft materials as <br /> appropriate) <br /> • Affiliated utility companies within the project limits <br /> • Pacific Locomotive Association <br /> Task 1.4 Kick-Off, PDT And City Coordination Meetings <br /> Following Notice to Proceed, AECOM will conduct a Project Kick-Off meeting (Assume <br /> 2 meetings) with the City, Caltrans, and project stakeholders. Project scope, team <br /> organization, communication procedures, design schedule, critical activities, design data <br /> needs and project deliverables will be discussed. <br /> AECOM will conduct monthly Project Development Team (PDT) meetings (Assume 12 <br /> meetings). This will include preparation and submittal of agenda, preparation and <br /> submittal of Data Request Logs, and preparation of meeting minutes for each PDT <br /> Meeting, distribution of meeting minutes and development of action items list.
