<br /> NOVEMBER 2021 | 3 <br />Task 1.3 – Biweekly Coordination Meetings <br />Carollo will prepare for and conduct biweekly coordination meetings with the City’s project manager during the <br />project. Meetings will be held every two weeks and will include Carollo’s project manager, design manager, and <br />other key staff and/or subconsultants. Carollo will provide a meeting agenda prior to the meetings. <br />Task 1 Deliverables: <br />· Monthly progress reports and budget summary. <br />· Kickoff meeting agenda and minutes. <br />· Biweekly coordination meeting agenda. <br />Task 1 Assumptions: <br />· Project duration is assumed to be 20 months from the notice to proceed. <br />· Kickoff meeting will be attended by City staff and key Carollo staff (assumes four Carollo staff) and <br />will be held in person. <br />Task 2.0 – Final Design <br />Carollo will develop final design of the centralized treatment facility (CTF), transmission pipeline to the CTF, <br />treated water connection to the distribution system, Well 8 rehabilitation, new Well 9 equipping and <br />building, new Well 10 equipping and existing facility improvements, abandonment of existing Wells 3, 4, 5 <br />and 6, and up-sizing the existing 14-inch pipeline in Santa Rita Road. The final design will be in general <br />accordance with the August 2021 Basis of Design Report. The project will be constructed under a single <br />contract, except as follows: <br />· The PFAS treatment media and vessels will be procured in separate contracts as defined in Tasks 4 <br />and 5. <br />· Wells 9 and 10 casings will be constructed under a separate contract as defined in Task 6. <br />Task 2.1 – Review and Incorporate City Standards <br />Carollo will review the City’s standard Division 0 specifications and recommend modifications to meet project <br />needs. Recommended revisions will be summarized in a 2-3 page TM for City review and comment. Carollo <br />will prepare Division 0 specifications based on the results of the TM. Carollo will also prepare Division 1 <br />specification using Carollo’s templates. <br />Carollo will meet with the City before the design begins to confirm CAD standards and the project datum. <br />Carollo will prepare meeting minutes to document decisions. Drawings will conform with the City’s CAD <br />standards. <br />Carollo’s technical specifications and typical details will be utilized for final design of the Project. Carollo will <br />also incorporate City standards into Carollo’s technical specifications and typical details based on direction <br />from the City. <br />Task 2.2 – BODR Design Criteria Confirmation Meeting <br />Carollo will conduct a meeting with City staff to review design criteria established during the Basis of Design <br />Phase to determine any changes and document with meeting minutes. The purpose of the workshop is to <br />confirm key design criteria (such as treatment system capacity) before proceeding with 50 percent design.
