GHD will conduct two (2), half-day (4-hour), remote visioning sessions via MS Teams with the Core <br /> Committee to understand all the technical and functional requirements needed from the CMMS to perform <br /> their jobs most effectively and efficiently. We will compile this information into a document provided at the <br /> end of our assessment as a deliverable. <br /> Subtask 2.2: Review Current MaintStar Configuration <br /> To better understand where the City is at with its CMMS, GHD will first review the internal audit information <br /> provided by the City, if available. Next, we will take the issues identified in the internal audit and from the <br /> visioning session and perform our MaintStar system audit. We understand the MaintStar version the City <br /> currently utilizes does not have a mobile application, which has been a significant setback. However, we <br /> will compare the complaints list against the current configuration to determine if most of the City's issues <br /> are software or configuration-related. <br /> Subtask 2.3: Review MaintStar v 15 <br /> GHD will collaborate with MaintStar and get a formal review of the newest version and all of its capabilities <br /> and drawbacks. The goal is to identify if the upgraded version of MaintStar can meet or exceed the technical <br /> and functional requirements identified in the Visioning Session of subtask 2.1. For example,we will gain a <br /> full understanding of the GIS capabilities within MaintStar and whether the product can ultimately lead the <br /> City to a GIS-Centric solution. Additionally,we will discover what the full functionality of the mobile version <br /> is in this release and how often will the City be patching phones and tablets with updates. <br /> Subtask 2.4: Prepare Software Assessment <br /> We will compile our findings from subtasks 2.1-2.3 and produce a MaintStar Software Assessment for the <br /> City. The goal of the document is to identify if the updated version of MaintStar will fit the needs of the City <br /> and validate the current CMMS implementation strategy for the City. This assessment allows the City to <br /> make an informed next step decision. <br /> Task 2: City Roles and Responsibilities <br /> — Assistance with scheduling staff from the Core Committee (or other valid participants) for the two <br /> Visioning Sessions <br /> — Staff attendance and participation at the Visioning sessions <br /> — Provide a copy of the internal MaintStar Audit performed by City staff <br /> — Provide remote access to the current MaintStar Configuration <br /> Task 2: Deliverables <br /> — Lead two half-day remote Visioning Sessions via MS Teams with the Core Committee <br /> — MaintStar Software Assessment that includes the City's technical and functional requirements and how <br /> the old and new software versions align with those requirements to help the City make an informed next <br /> step decision <br /> Task 3—GIS Assessment (optional) <br /> Subtask 3.1: Review of Current GIS <br /> GIS plays a critical role for the OSD by providing the capability to manage and represent the geographic <br /> locations, proximity, adjacency, and movements of their strategic assets. GHD has developed a specific <br /> asset management framework for our client's geodatabase that can be harnessed by CMMS software. As <br /> organizations move to be more GIS-centric,the GIS becomes the central asset data repository. The CMMS <br /> pulls the information from the GIS to use and can then read and update information back to the GIS based <br /> on field inspections.
