Memorandum <br /> Subject: Scope of Work for Augustin Bernal MBT Design Services <br /> documents. Dudek will prepare meeting minutes documenting the discussion at the kickoff meeting and circulate <br /> those minutes for review and edits. <br /> Dudek will attend one(1)meeting with the Golden Eagle Home Owners Association (HOA)to discuss their concerns <br /> with the trail easement and collect any input relevant to the trail design. For efficiency,this meeting could occur in <br /> conjunction with the optional CEQA HOA meeting, assuming that meeting is held. In any case, it should occur prior <br /> to finalizing the 85% Plans, Specifications and Estimates (PS&Es), so that design changes, if any, can be <br /> incorporated into the plan set. Dudek will prepare meeting minutes following the HOA meeting and circulate those <br /> minutes for review and edits. <br /> Following review of the 85% PS&E package by the City, Dudek will conduct an 85% Design Review meeting to <br /> discuss City comments. Since this meeting does not accompany a site visit, we propose it be conducted remotely <br /> via Zoom or comparable technology to better accommodate social distancing guidelines and save on travel costs. <br /> We can use share-screen capability to review comments. <br /> 1.3 Project Management & Coordination <br /> To keep the project moving forward smoothly and ensure we are meeting the City's needs, Dudek will conduct up <br /> to four conference calls for project coordination. Monthly calls usually work well for this purpose,though these calls <br /> could be anywhere from three to eight weeks apart, depending upon the total project timeline. <br /> Dudek will also provide all needed project management services including review/coordination of budgets, <br /> schedule, staff allocation, and Quality Assurance/Quality Control (QA/QC) for deliverables. Our standard QA/QC <br /> process for landscape architectural projects,which we propose to utilize for this project, involves review of the final <br /> construction document package by a senior landscape architect prior to sending deliverables. This reviewing <br /> individual typically does not have a role in the project beyond QA/QC,so that the review is objective and independent <br /> of those developing the drawings and specifications.This objectivity can help to catch details that seem obvious to <br /> those intimately involved in the project but that may not be clear to a contractor. <br /> Cost for Task 1 $8,760.00 <br /> 2 Plans, Specifications and Estimates (PS&Es) <br /> 2.1 Preliminary Alignment <br /> Before starting on development of the Plans, Specifications and Estimates, Dudek will prepare a Preliminary <br /> Alignment exhibit for City approval based upon the initial site visit, kickoff discussion, existing trail alignment, and <br /> other factors.The Preliminary Alignment will be presented on one 22"x34"sheet showing proposed alignment over <br /> existing topography and/or an aerial photograph. Upon approval of the Preliminary Alignment, Dudek will begin <br /> work on the 85% PS&E package.Any comments on the Preliminary Alignment will be integrated into the first PS&E <br /> submittal. <br /> P220397 <br /> D U D E K 2 October 2020 <br />
