Any potential increases to the scope of the proposed <br /> improvements (e.g. as a result of changes in standards and requests from Caltrans or other <br /> agencies)will be reported to CITY and any changes to the project scope will not be made <br /> without CITY approval. CONSULTANT will also record approved scope changes for <br /> future reference and report cost trends on a regular basis to CITY. Management activities <br /> will consist of administration, coordination, attending meetings and quality control as <br /> stated in the following: <br /> Subtask 1.1 Project Administration <br /> Project administration, supervise, coordinate and monitor activities for conformance with <br /> Caltrans standards and policies. <br /> Subtask 1.2 Project Schedule <br /> Prepare a Critical Path Method (CPM) schedule using Microsoft Project after Notice to <br /> Proceed for the project.Update the schedule on a monthly basis.Also,prepare,update,and <br /> submit a Three-Week Horizon Schedule at the regular design coordination meetings(PDT <br /> Meetings). <br /> Subtask 1.3 Project Coordination <br /> CONSULTANT will maintain close communication with City's Project Manager, Cedric <br /> Novenario by personal contact, telephone, email, and meetings. Close coordination with <br /> Caltrans and other project stakeholders will also be critical throughout the project. <br /> Subtask 1.4 PDT Meetings <br /> Prepare for and attend meetings such as: <br /> ■ Project Development Team (PDT) meetings with CITY, Caltrans, and stakeholders <br /> will address and resolve project issues. CONSULTANT will manage each PDT <br /> meeting, prepare the agendas for distribution 1 week before the meeting is held, and <br /> distribute meeting minutes within 7 working days after the meeting. CONSULTANT <br /> assumes 8 PDT meetings will be needed. <br /> Subtask 1.5 Technical Meetings <br /> Following Notice to Proceed, CONSULTANT will conduct a Project Kick-Off meeting <br /> with CITY and project stakeholders. Project scope, team organization, communication <br /> procedures, design schedule, critical activities, design data needs and project deliverables <br /> will be discussed. <br /> Prepare for and attend meetings such as: <br /> • Workshop meetings with CITY,Caltrans and other agencies to resolve technical issues <br /> • City Council/Community presentations(up to 2 presentations estimated) <br /> Subtask 1.6 Invoices/Progress Reports <br /> Apri110,2020 3 <br />
