BACKGROUND <br /> On July 18, 2017, City Council approved a professional services agreement with Jeff <br /> Katz Architecture in the amount of $468,000 to design and provide construction support <br /> services for the Fire Station No. 3 Replacement Project, CIP No. 17423. The agreement <br /> did not include the design and creation of biddable documents for temporary fire station <br /> facilities as it was unknown at the time where they would located. As the design of Fire <br /> Station No. 3 progressed, staff searched for a site to temporarily locate existing fire <br /> station personnel and equipment during construction. Staff determined the best <br /> temporary location to be the vacant lot adjacent to the parking lot of Stanford Health <br /> Care — ValleyCare hospital at the intersection of Santa Rita Road and West Los Positas <br /> Road. <br /> DISCUSSION <br /> JKA was involved in preparing the drawings and specifications to include the temporary <br /> facilities as part of the Fire Station No. 3 bid packet. They absorbed preparation work <br /> into their existing agreement with the City without requesting additional compensation. <br /> As the City and JKA worked to satisfy the requirements of the hospital to utilize the <br /> facility site, as well as design the needed water, sewer, and power connections, it <br /> became obvious that additional significant work was involved with creating the needed <br /> plans and specifications. Most of this work involving the temporary facility site was <br /> performed by JKA personnel. However, JKA's land surveying subconsultant was asked <br /> to perform a topographical survey and utility record search for the site. The <br /> subconsultant was paid $3,500 by JKA to perform this work. While JKA is not <br /> requesting additional compensation for the extra work performed to prepare the plans <br /> and specifications for the temporary facility site, they are asking to be reimbursed their <br /> direct expense of having the required site survey performed. This contract amendment <br /> is for that purpose and increases the contract amount by $3,500. This increases the <br /> total contract amount to $471,500. <br /> The amendment also extends the contract period to December 31 , 2020. Based upon <br /> the anticipated construction schedule for Fire Station No. 3, extending the JKA <br /> agreement as proposed will prevent the agreement from expiring during the actual <br /> construction so JKA may provide the construction support services included in the <br /> original agreement. <br /> Submitted by: Fiscal Review: Approved y: <br /> Stephen Kirkpatrick ina Olson Nelson Fialho <br /> Director of Eriineering Director of Finance City Manager <br /> Attachments: <br /> 1.
