City of Pleasanton <br /> Phase 1A Recycled Water Distribution System Design Final Draft <br /> Subtask 8.1: Kickoff Meeting and Design Criteria Workshop <br /> Coordinate, conduct, and attend the kick-off and design criteria workshop following notice to proceed. <br /> Consultant shall prepare meeting agendas, meeting handouts, and shall prepare and distribute a meeting <br /> summary. <br /> Subtask 8.2: City Communication and Coordination <br /> Consultant shall communicate and coordinate with the City's Project Manager on project activities, <br /> progress, upcoming work and coordination needs. Consultant shall work cooperatively with the City to <br /> identify and resolve Project issues, obtain endorsement for the design decisions, and pursue permits and <br /> required easements.Consultant shall prepare and maintain an ongoing action items list. <br /> Subtask 8.3: Management of Budget and Schedule <br /> Consultant shall provide progress,budget, and schedule tracking of this project. Consultant shall prepare <br /> a monthly progress report that provides a summary of the project status, and an update on the project <br /> budget/expenditures and schedule, including earned value against the scope. <br /> Subtask 8.4: Quality Assurance and Quality Control <br /> Consultant shall implement its required quality assurance program for the project. Consultant shall <br /> perform QA/QC reviews on the project deliverables. Internal QA/QC comments shall be incorporated <br /> into the deliverables prior to submitting to the City unless concurrent reviews are undertaken to recover <br /> schedule. This will only be done with City approval. <br /> Task 8 Assumptions: <br /> • Project design duration is scheduled to December12,2014 <br /> • City will provide Consultant with direction and make decisions consistent with the City's and <br /> Consultant's schedule for the Project. <br /> Task 8 Deliverables: <br /> • Monthly Invoices and Progress Reports (hardcopy and.pdf via email) <br /> • Meeting agenda,materials and summaries as .pdf via email <br /> General Scope and Budget Assumptions <br /> • Channel crossings are assumed to be accomplished by hanging pipeline from bridge structures or <br /> trenching over the top of culvert structures. Alternate HDD crossing design would be an <br /> additional service. <br /> • No condition assessment work is needed for the Tassajara Reservoir or the existing pipelines. <br /> This can be done as an additional service. <br /> • No hazardous materials or contamination evaluations are needed for design. Contract <br /> specifications will include protocol for handling, sampling, testing and disposing of contaminated <br /> soil and groundwater. <br /> TASK 9: OPTIONAL SERVICES(ONLY UPON CITY APPROVAL) <br /> A. Assistance with Customer Coordination <br /> As needed or requested the Consultant shall provide assistance and support to the City with <br /> recycled water customer coordination to support the project implementation. Up to 40 hours of <br /> effort have been allocated under this task under Task 9. Services beyond 40 hours can be <br /> provided on a time and materials basis. <br /> B.
