Applications that are disapproved will <br />be automatically processed for a full <br />refund which will be mailed to <br />applicant at the address on the <br />application. Please allow two (2) <br />weeks. <br /> <br />Payment Deposit - A $50.00 ($200 <br />for Senior Center) nonrefundable <br />building rental deposit will be <br />required to secure a reservation and <br />the balance paid 30 days prior to use <br />of the facility. All checks shall be <br />made payable to the "City of <br />Pleasanton." <br /> <br />Cleaning/Damage/Compliance <br />Deposit - A $50 cleaning/damage/ <br />compliance deposit is required for all <br />building reservations with the <br />following exceptions: Century House <br />- $100; Senior Center - $400. The <br />Cleaning/Damage/Compliance <br />Deposit is due 30 days prior to use of <br />facility. Deposits will be returned by <br />mail if building is left in satisfactory <br />condition and use was in compliance. <br />Please allow at least two (2) weeks. <br />If additional cleaning is required, the <br />hourly cost will be $25.00 per hour. If <br />damage is noted, the cost will be <br />directly re~ated to the damage. <br /> <br />Reservation Cancellation - <br />Applicants finding it necessary to <br />cancel reservations must do so in <br />writing at least 30 days prior to date <br />reserved and will incur a cancellation <br />fee of fifty dollars ($50); two hundred <br />($200) for Senior Center. Late <br />cancellations (less than 30 days prior <br />to booking) will forfeit the deposit, <br />plus up to 50% of the rental fee. <br /> <br />Alcoholic Beverage - Applicants <br />requesting permission to sell alcoholic <br />beverages must obtain a one-day sales <br />license from the State of California <br />Beverage Control Board; call (510) <br />622-4970 for additional information. <br /> <br />Access to Building lSr. Center <br />users: also read information specific to <br />Sr. Center regarding access] - Please <br />confirm hours of use at the time of <br />final payment. This may be done by <br />telephone if you are mailing the final <br />payment. Your specified time <br />includes your total time in the facility, <br /> <br />including set-up and clean-up. A staff <br />person will be assigned to open and <br />secure buildings for all non-routine <br />uses at the times specified on the <br />contract. Time extensions may be <br />requested in writing up to 14 days <br />prior to event. <br /> <br />Bookings Utilizing Caterer <br />Service - Lessee is fully responsible <br />for providing use hours to caterer and <br />for booking hours that meet caterer's <br />needs. The City does not respond to <br />caterer, only lessee. We suggest the <br />lessee fully explore with caterer time <br />needed to accept deliveries, set up, <br />clean up and make sure <br />responsibilities are clear. Lessee is <br />responsible for all time overages and <br />extra clean up charges regardless of <br />whether event was catered or not. <br /> <br />Business Licenses - A Pleasanton <br />Business License is required of all <br />businesses (eatarers, DJ's, bands, etc.) <br />performing services for your event. <br />Name and Pleasanton Business <br />License Number is provided by lessee <br />on contract. For business license <br />information contact City of <br />Pleasanton Business License <br />Coordinator at 931-5440. <br /> <br />Holiday Use - No facilities will be <br />available on Christmas Eve, <br />Christmas Day, Thanksgiving, New <br />Year's Day, or Easter Sunday, except <br />by special arrangements. <br /> <br />An additional twenty-five percent <br />(25%) of the building rental fee will <br />be charged for holidays recognized as <br />official holidays by the City. <br /> <br />Inappropriate Uses - In accordance <br />with the General Policy, Parks and <br />Community Services Department the <br />facility use shall not be granted to: <br /> <br />Any party or organization, <br />political or otherwise, that <br />advocates the overthrow of <br />the government of the United <br />States or of the State of <br />California by fome or <br />violence or other unlawful <br /> <br />Senior Center - Due to <br />facility design, the following <br />activities are considered <br />inappropriate for thc facility: <br />teen dances, youth focused <br />events, performance events <br />requiring dressing room or <br />support. <br /> <br />Insurance - All applicants shall <br />provide the City of Pleasanton with a <br />valid Certificate of Liability Insurance <br />written through carriers acceptable to <br />the City of Pleasanton. Such <br />certificate shall provide Bodily Injury <br />and Property Damage Liability <br />protection at a preferred limit of <br />$500,000 per occurrence. The <br />Certificate of Insurance shall name the <br />City of Pleasanton as an "additional <br />insured" in conformance with the <br />Hold Harmless Agreement, as <br />outlined in the Facility Rental <br />Agreement. <br /> <br />Note: Please contact your insurance <br />agent regarding whether or not your <br />homeowner's policy may be extended <br />to cover your event. Ifyour insurance <br />company does not cover this or you do <br />not carry homeowner's insurance, you <br />may purchase special event insurance <br />through the City. Please discuss <br />insurance needs with staff. Certificate <br />of Insurance is due at time of final <br />payment. <br /> <br />GENERAL RULES AND <br />REGULATIONS <br /> <br />Final interpretation of all Recreation <br />Facility Use Policies and Procedures <br />remain with the Director of Parks and <br />Community Services. <br /> <br />Storage - Storage is not available <br />either before or after your <br />event/meeting for any group, <br />organization or special use group. <br /> <br />Air Conditioning/Heating - Full <br />effort will be made to create <br />comfortable temperature in all <br />buildings but is not guaranteed. Air <br />conditioned buildings will not <br />maintain cool temperature with doors <br />opened for extended periods of time. <br /> <br />Page 2 <br /> <br /> <br />
