Prepare Council Presentation <br /> <br />Diameter’s Design phase builds the foundation for effective future phases. Workshops are conducted <br />remotely through Microsoft Teams. Diameter is proposing: <br />• Pre-kick off Meeting (conference call with City Project Manager) <br />• Kick-off Meeting (conference call with the project team approximately 1.5 – 2 hours) <br />• Three 2-day workshops <br />• Steering Committee Meetings (Two 1-hour meetings) <br /> <br />Upon completion of each workshop, Diameter will provide presentations and recordings on MS Teams. <br />Diameter will also provide a final report that includes a summary of the findings and recommendations <br />for the project. This report will provide the information needed for the preparation of the presentation to <br />council. <br /> <br />1.2.1. Project Management <br />Approach: Diameter will provide overall coordination and project management services for the Design. <br />Activities associated with this task include project scheduling and timeline oversight, budget <br />management, scheduling meetings, progress activities/meetings, minutes, action items oversight, travel <br />coordination (if applicable) and other related functions. <br />Pre-Kick Off and Kick Off Meetings: Diameter will work with the City’s Project Manager during the pre- <br />kickoff meeting to refine project objectives, scope, and schedule. At the pre-kickoff meeting, we strive to <br />establish dates for as many meetings and workshops as possible. <br /> <br />It is our experience that booking these meetings well in advance helps to facilitate participation and <br />provides visibility to all project team members of time commitment expectations. Workshops are an <br />important activity in engaging with the City’s stakeholders. The workshops are always attended by at <br />least two Diameter subject matter experts, which allows for different points of views and perspectives. All <br />on-line workshops are recorded and shared with attendees for the City’s and Diameter’s benefit. <br /> <br />Diameter will initiate a kick-off and introductory call to discuss workshop timing and to begin the <br />information request. During our first meetings, our team will facilitate a discussion about communication, <br />organizational structure, and approval processes within the City. We will share with the City the ideal <br />project organization structure and governance structure (project team, steering committee, and support <br />roles) which will help Diameter acclimatize to the City’s organizational culture, while setting the stage for <br />effective internal communication and decision making. We have worked with water utilities of all sizes, <br />and we have found that organizations like Pleasanton are best served when the organizational structure <br />includes a core project team as well as a steering/executive team who reports to Council. <br /> <br />Our philosophy is to work in a collaborative fashion with the City’s team throughout the project. We <br />always take into consideration client input and desired timelines and set plans accordingly to <br />accommodate the City’s approval process (e.g., Council meeting dates).
