5 <br />THE CITY OF <br />L~E~S~NTONo CITY COUNCIL AGENDA REPORT <br />October 2, 2007 <br />Parks and Community Services Department <br />TITLE: ACCEPTANCE OF PUBLIC IMPROVEMENTS, PLEASANTON MIDDLE <br />SCHOOL TENNIS COURT LIGHTING AND RE-SURFACING, PROJECT <br />N0.067014 <br />SUMMARY <br />Construction of lighting and paving improvements for the tennis courts at Pleasanton <br />Middle School has been completed on-time and under budget, and staff is <br />recommending project acceptance. The project consisted of the installation of <br />recreational level lighting and controls for the two (2) existing tennis courts, as well as <br />structural pavement, re-surfacing, and fencing repairs. The completed work provides <br />lighted tennis courts that are available to the public and are commensurate in quality <br />with those found at Pleasanton Tennis and Community Park. <br />RECOMMENDATION <br />That the City Council take the following actions at its meeting of June 5, 2007: <br />1. Accept the improvements. <br />2. Authorize the City Clerk to file a Notice of Completion. <br />3. Authorize payment of the retention (10%) in the amount of $14,995.31 to <br />Vintage Contractors Inc., 30 days after filing the Notice of Completion. <br />FINANCIAL STATEMENT <br />This project was funded by the Park Renovation Fund ($88,000) and a transfer from the <br />Fairlands Park Irrigation Renovation Project ($84,032), a total of $172,032. The original <br />construction contract with Vintage Contractors, Inc. was in the amount of $142,120. A <br />single change order in the amount of $7,833.10 was issued to relocate one of the new <br />light poles and modify its footing. This work was necessary due to the discovery of a <br />large storm drainage pipeline on School District property that was unmarked and <br />unknown at the time of the project's design. The total adjusted contract amount is <br />$149,953.10. In addition, staff "pre-ordered" the primary lighting components -poles, <br />fixtures and anchor bolts, to eliminate construction delays due to the lead time required <br />for these materials. The cost of these components was $15,700, making the total <br />project cost $165,653.10. The remaining funds ($6,378.90) will be returned to the Park <br />Renovation Fund for use in other improvement projects. <br />It is anticipated that this project will require approximately $3,500 in annual maintenance <br />costs to pay for electrical usage, occasional net replacements, re-tamping, and other <br />minor repairs and upkeep. <br />
