13 <br />THE CITY OF <br />����•'r' "` CITY COUNCIL AGENDA REPORT <br />PLEASANTON. <br />November 16, 2021 <br />Library and Recreation <br />TITLE: APPROVE THE SERVICES AGREEMENT WITH FOLGER GRAPHICS IN <br />THE AMOUNT OF $91,000 ANNUALLY FOR ACTIVITIES GUIDE, CITY <br />NEWSLETTER AND CITY ANNUAL REPORT PRINTING SERVICES, NOT <br />TO EXCEED $273,000 FOR A THREE-YEAR CONTRACT TERM <br />SUMMARY <br />The Library and Recreation Department produces an Activities Guide of its various <br />programs and activities which is distributed three times a year. As well, the Economic <br />Development Department, in conjunction with the City Manager's Office, produces a <br />City newsletter three times a year, and a City annual report once a year. With the <br />expiration of the current printing contract, staff recently conducted a Request for <br />Proposals (RFP) process. Folger Graphics, the only company that responded to the <br />RFP, has a proven track record with the City of Pleasanton and is the recommended <br />company for the contract for printing services. <br />RECOMMENDATION <br />Approve the Services Agreement with Folger Graphics in the amount of $91,000 <br />annually for Activities Guide, City newsletter and City annual report printing services. <br />Authorize the City Manager to enter into a three-year contract, starting December 1, <br />2021, with a not to exceed amount of $273,000 for the three-year contract term, and, <br />upon mutual agreement of both parties, to extend this contract for two additional one- <br />year terms with a not to exceed annual maximum of $91,000. <br />FINANCIAL STATEMENT <br />Funding for this contract is included in the Library and Recreation Department budget <br />and in the Economic Development Department's Communication Division budget. <br />
