THE CITY OF <br /> 6 <br /> pLEASANTON CITY COUNCIL AGENDA REPORT <br /> August 20, 2019 <br /> Community Development <br /> Planning Division <br /> TITLE: APPROVE SECOND AMENDMENT TO A PROFESSIONAL SERVICES <br /> AGREEMENT WITH M-GROUP FOR CONTRACT PLANNING SERVICES, <br /> EXTENDING THE TERM TO DECEMBER 31, 2020, AND INCREASING THE <br /> CONTRACT AMOUNT BY $552,000 FOR A NEW TOTAL CONTRACT <br /> AMOUNT NOT TO EXCEED $722,000 <br /> SUMMARY <br /> In November 2018 the City Council authorized the City Manager to enter into a <br /> Professional Services Agreement with M-Group to provide contract planning services to <br /> address a staffing shortfall associated with an employee leave of absence, and to <br /> ensure work could continue on critical projects. The contract was subsequently <br /> extended to December 31, 2019. <br /> In the coming year, the Planning Division will experience another employee leave of <br /> absence, expected for a duration of up to six months beginning in September 2019. <br /> Additionally, there are a number of significant projects expected to start up or see <br /> applications submitted in the next several months. Staff is requesting the approval of an <br /> amendment to the Professional Services Agreement with M-Group, to allow for <br /> additional consultant hours for contract planner services, and a new contract term <br /> through December 31, 2020. <br /> RECOMMENDATION <br /> Approve and authorize the City Manager to execute the second amendment to the <br /> Professional Services Agreement with M-Group to add $552,000 to the original amount <br /> of $170,000 (for a total of $722,000) for contract planning services, and extend the <br /> contract through December 31 , 2020. <br /> FINANCIAL STATEMENT <br /> The cost of contract planning services is paid from the Community Development <br /> Professional Services accounts. The 2019-2020 and 2020-2021 budgets include certain <br /> funding for staffing coverage due to leaves, vacations, etc.. however. the majority of <br /> funding for the additional work associated with this contract amendment is anticipated to <br /> be received through developer contributions. The duration and scope of work will be <br /> scaled to the developer contributions received. At this time, additional General Fund <br /> budget is not being requested. <br />
