THE CITY OF 3 <br /> CITY COUNCIL AGENDA REPORT <br /> pLEASANTON© <br /> January 15, 2019 <br /> Engineering <br /> TITLE: ACCEPT PUBLIC IMPROVEMENTS PERFORMED BY BAY CITIES <br /> PAVING AND GRADING, INC. FOR THE ANNUAL STREET <br /> RESURFACING AND PREVENTATIVE MAINTENANCE PROJECT, CIP <br /> NO. 15503, AND THE OLD VINEYARD AVENUE TRAIL-PHASE I <br /> PROJECT, CIP NO. 13544 <br /> SUMMARY <br /> This project consisted of resurfacing approximately 2,035,000 square feet of existing <br /> pavement surface, and preparation work for slurry sealing approximately 2,620,000 <br /> square feet of pavement surface on various city streets. This project also converts 4,600 <br /> linear feet of Old Vineyard Avenue roadway, between Vineyard Terrace and Heinz <br /> Ranch Court, into multi-use trail. City Council awarded this construction contract to Bay <br /> Cities Paving and Grading, Inc. on July 18, 2017. Construction of the project is complete <br /> and ready for City Council acceptance. <br /> RECOMMENDATION <br /> 1. Accept the project as complete and authorize the City Clerk to file a Notice of <br /> Completion for the project. <br /> 2. Authorize payment of the retention in the amount of$286,322.86 to Bay Cities Paving <br /> and Grading, Inc. 30 days after the recordation of the Notice of Completion. <br /> 3. Transfer$57,858 from Old Vineyard Trail (Phase 1), CIP No. 13544, to CIP No. 15503. <br /> 4. Transfer $17,155 from Bi-Annual Traffic Calming, CIP No. 18555, to CIP No. 15503. <br /> 5. Authorize the return of the project balance of $42,050 to the Streets General Fund. <br /> FINANCIAL STATEMENT <br /> Funding for this project totaled $5,809,242; $5,650,000 from three years of annual <br /> street resurfacing CIP allocations, $452,375 from CIP 13544 (Old Vineyard Trail), <br /> $156,150 from, CIP 17749 (Castleridge Improvements), $153,997 transferred from <br /> other various Capital Improvement Projects to cover the funding shortfall at the contract <br /> award phase, and reimbursement of $141,952 from East Bay Regional Park District <br /> (EBRPD). There were subsequent transfers of budget out to other CIPs, totaling <br /> $818,280. Staff recommends transferring an additional $57,858 from CIP 13544, and <br /> $17,155 from CIP 18555 (Traffic Calming), in order to cover expenditures related to <br /> those projects that were completed within the scope of this project. Expenditures for the <br /> project totaled $5,842,206, leaving a balance of $42,050 in the project fund. Staff <br /> recommends transferring the remaining balance back to the Streets General Fund. <br />
