THE CITY OF Q <br /> -• ���= '"` CITY COUNCIL AGENDA REPORT 8 <br /> pLEASANTO ,N <br /> June 19, 2018 <br /> Engineering <br /> TITLE: APPROVE PROFESSIONAL SERVICES CONTRACTS FOR ON-CALL <br /> SURVEYING AND COMPUTER DRAFTING PROFESSIONAL SERVICES <br /> WITH THE FIRMS OF RUGGERI-JENSEN-AZAR, KIER & WRIGHT CIVIL <br /> ENGINEERS AND LAND SURVEYORS, INC. AND ALEXANDER & <br /> ASSOCIATES, INC. <br /> SUMMARY <br /> The City has a need for surveying and computer drafting professional services for <br /> various projects. City staff advertised to receive Statements of Qualifications (SOQs) for <br /> these specialized services in February 2018. We received and reviewed four SOQs from <br /> respondent firms and invited the four for interviews. Based on the firms' qualifications, <br /> interview performances, and responses to inquiries of provided references, staff <br /> recommends that the City Council award contracts to three firms: Ruggeri-Jensen-Azar, <br /> Kier & Wright Civil Engineers and Land Surveyors, Inc. and Alexander & Associates, Inc. <br /> The contracts cover services between July 1, 2018, and June 30, 2021, with the option <br /> of two additional one-year extensions. The contract is capped at a total, aggregate not- <br /> to-exceed amount of $500,000. Although the recommended aggregate not-to-exceed <br /> amount is $500,000 over three years, there is no guaranteed amount of work to any of <br /> the three firms, and there is no guarantee that the $500,000 amount will be expended <br /> over the contract period. Work will be assigned based solely upon recognized need. <br /> RECOMMENDATION <br /> 1 . Approve professional services contracts with Ruggeri-Jensen-Azar, Kier & Wright <br /> Civil Engineers and Land Surveyors, Inc. and Alexander & Associates, Inc. to <br /> provide on-call surveying and computer drafting professional services in the total <br /> aggregate amount not-to-exceed $500,000 between July 1 , 2018, and June 30, <br /> 2021, with the option of two one-year extensions. <br /> 2. Authorize the City Manager to execute the attached contracts. <br /> 3. Authorize the Director of Engineering to approve task authorizations up to $50,000. <br /> 4. Authorize the City Manager to approve task authorizations up to $100,000. <br /> FINANCIAL STATEMENT <br /> No additional funding is needed to approve these consultant contracts. Funding for <br /> these contracts is budgeted under each individual Capital Improvement Program (CIP) <br /> project approved by the City Council. <br />
