THE CITY OF <br />[ALE ASANTONC <br />CITY COUNCIL AGENDA REPORT <br />September 21, 2010 <br />Community Development <br />Engineering Division <br />TITLE: ACCEPTANCE OF PUBLIC IMPROVEMENTS PERFORMED BY <br />W. R. FORDE ASSOCIATES FOR THE BI- ANNUAL CONTROL VALVE <br />INSTALLATION PROJECT, CIP NO. 081011 <br />SUMMARY <br />The project consisted of replacing existing damaged water valves with industry- standard <br />upgrades at various locations in the City. The objective of this Capital Improvement <br />Program (CIP) project was to improve water flow. Construction of the subject project is <br />complete and is ready for acceptance. <br />RECOMMENDATION <br />1. Accept the improvements for this project. <br />2. Authorize the City Clerk to file a Notice of Completion for the subject project. <br />3. Authorize payment of the retention in the amount of $4,728.08 to W.R. Forde <br />Associates thirty days after recordation of the Notice of Completion. <br />4. Authorize the use of additional available funding in CIP No. 081011 for $6,316 of <br />expenses that were above the approved project construction budget. <br />5. Authorize the transfer of the remaining CIP project balance of $46,826.87 from the <br />subject project, CIP No. 081011, to the next Control Valve Installation project CIP <br />No. 101011. <br />FINANCIAL STATEMENT <br />Funding for this project was provided by Water Replacement Funds in the Bi- Annual <br />Control Valve Installation project, CIP No. 081011. The budget approved on <br />December 1, 2009 was $96,857.00; however, additional necessary control valve <br />replacement brought the total project cost to $103,173.13. Sufficient funds remain in <br />the CIP project (No. 081011) to cover the additional costs. <br />The replacement and upgrade of the existing infrastructure will provide easy access to <br />water pipes and reduce both current and future maintenance problems and costs. <br />4 <br />
