Integration to four department databases. Active would directly integrate with: <br />o Utility Billing's Bill Star software system <br />o Community Development's Kiva (Accela) software system <br />o Business Licenses' HdL software system <br />o Library's Innovative software system <br />• Provide online web payments for all departments through the City's website <br />• General Ledger export to the City's Mitchell Humphrey financial accounting <br />system <br />• Ability for customers to process various payments at one department site <br />• Eliminate accounting steps due to direct integration to department databases <br />o Saves staff time <br />o Reduces errors <br />o Improves internal controls <br />Attachment 1 outlines the Scope of Work and provides pricing details. In addition to the <br />comprehensive cashiering software cost of $125,757, the proposal includes <br />maintenance and support cost of $19,600 per year. In addition to 24/7 support, the <br />annual maintenance agreement includes the cost to update Active integrations to the <br />various City software systems whenever a vendor upgrades its applications. Staff is <br />recommending Council approve a 10% contract contingency to allow for: (1) additional <br />staff training (if necessary) beyond the contract term; and (2) consultant travel expense. <br />In addition to the contract items, <br />(hardware and operating program) <br />These platforms can accommodat <br />are therefore multifunctional. <br />Submitted by: <br />avid P.
