2 <br />THE CITY OF <br />"' CITY COUNCIL AGENDA REPORT <br />j~L£~S~NTONo <br />August 19, 2008 <br />Administrative Services <br />TITLE: ADOPT A RESOLUTION APPROVING THE REVISED RETENTION <br />PERIODS FOR PLEASANTON POLICE DEPARTMENT RECORDS <br />SUMMARY <br />The City maintains a records management system for all City records including paper <br />and electronic documents. While the City maintains a considerable amount of paper <br />documents, most documents are now stored electronically in a LaserFiche system that is <br />made available to City employees through the City's network and the public through the <br />City's web site. One aspect of the records management system is a records retention <br />schedule which classifies documents in specific categories and sets forth a schedule for <br />retaining and deleting records. The records management retention schedule is adopted <br />by the City Council. From time to time it is advisable to amend all or portions of the <br />retention schedule to reflect departmental needs and City/State policy. Upon reviewing <br />Pleasanton Police Department records, staff is recommending that the retention <br />schedule be amended to more accurately reflect the records management retention <br />schedules and the needs of the Police Department. <br />RECOMMENDATION <br />Adopt the attached resolution approving a revised Retention Schedule for Pleasanton <br />Police Department records <br />FINANCIAL STATEMENT <br />There is no significant financial impact as a result of this action. <br />
