Step 5. Notification of tenants. Once qualified, applicants will be notified of their eligibility status and informed of the next steps in the process. Step 6. The lottery. Once all tenants have been pre-qualified and classified, a lottery supervised by EHI Board Members or City of Pleasanton staff as designated, will be conducted based on their classification. One primary tenant will be drawn for every unit in each unit size category. As many back-up tenants as there are available applications will be used to establish a waiting-list for future vacancies. B. Develop marketing materials. A project brochure will be developed to inform prospective tenants of the benefits and requirements of leasing at Ridge View Commons. A section of the brochure will be devoted to a description of the selection process. An advertising flyer will be developed as an outreach tool if determined as necessary. C. Community outreach efforts. To ensure that all prospective tenants are made aware of the housing opportunity at Ridge View Commons, a process will be developed to ensure that marketing materials are made available. D. Establish a sales office. Open a Pleasanton-based sales office at the Home Place, located at 5976 West Las Positas Boulevard, Suite 118, Pleasanton, CA. The Home Place will be subcontracting from EHI/PMS to handle the interviewing and screening of tenants. Once all the preliminary information and application packet has been distributed, they will set appointments and hold the interviews at the Pleasanton office. They will turn over to EHI/PMS all screened and qualified prospective tenants for inclusion in the proposed lottery. E. Hold the lottery. A lottery will be held once the process described above in Section A 1-5 is complete. Upon tenants selection, move-ins will be scheduled by the on-site manager and EHI/PMS. - 5 -
