4J '" ./ III pLEASANTONc City Council Staff Report June 6, 2006 Parks and Community Services Department SUBJECT: APPROVAL OF ADDITIONAL FUNDING FOR RENOVATION OF DONLON ELEMENTARY SCHOOL ATHLETIC FIELDS STAFF RECOMMENDATION: That the City Council allocate an additional $150,000 toward the joint project with Pleasanton Unified School District (PUSD) to renovate the athletic fields at Donlon Elementary School. SUMMARY: PUSD recently received bids for the Donlon Elementary School Field renovation project. The low bid was submitted by Jensen Corporation, at a cost of $1,096,888. The City Council had previously approved up to $500,000 in City funds as a joint venture with the School District. In addition to the bid price, expenditures for project design ($100,900), inspection and construction management ($18,600), and a 10% project contingency ($109,689) bring the total estimated costs for the improvements to $1,326,077. As a result of the increased costs, the School District is requesting that the Council appropriate up to an additional $150,000 for the project. Honorable Mayor and Members of the City Council: BACKGROUND In August 2005, the City Council considered a request from the Pleasanton Unified School District (PUSD) to partner on proposed improvements to the Donlon Elementary School athletic fields (Attachment A). The 9-acre field site had been traditionally used by co-sponsored sports organizations for practices/games; however, due to deteriorating conditions, use had continued to decline in recent years. With modernization improvements scheduled to occur at Donlon, the CitylSchool District Liaison Committee initiated discussions about a joint project to improve the athletic fields for physical education classes and community use.
