/ 41 '- - pLEASANTONc City Council Staff Report May 2, 2006 Police Department SUBJECT APPROVE A SOFTWARE LICENSE AND SERVICES AGREEMENT WITH NEW WORLD SYSTEMS CORPORATION FOR THE PURCHASE AND INSTALLATION OF AN INTEGRATED PUBLIC SAFETY INFORMATION SYSTEM (IPSIS) TO REPLACE THE CURRENT COMPUTER AUTOMATED DISPATCH AND RECORDS MANAGEMENT SYTEM (CAD/RMS) STAFF RECOMMENDATION: Authorize the City Manager to execute the Standard Software License and Services Agreement with New World Systems Corporation (Attachment A) in the amount of $850,375 and approve a project contingency of approximately 10% for software modifications, miscellaneous computer hardware equipment, optional software modules and additional installation service needed to meet police department needs. The City Manager will also approve the purchase of system hardware in an amount estimated at $50,400. SUMMARY The police department's dispatch and records management system is scheduled for replacement. For the past approximately two yeas, a multi- department staff team has been involved with identifying departmental needs, developing system specifications, conducting a formal bid process and negotiating a software license, installation and maintenance package for a new police dispatch and records system. This replacement is necessary due to limitations associated with the age of the current system and the phase out ofthe current systems hardware platform. Staff has completed the selection process and is recommending City Council approval to proceed with system procurement and implementation. This project is included in the City Budget as part of the Information Systems Equipment Replace Fund (046900). SR:06:114 Page I
