<br />The Department advertises these classes and programs in its quarterly Activities Guide, and <br />residents utilize the document to register for the wide variety of activities available. <br />As part of an effort to obtain services at the most cost-effective price, the Department conducted <br />a Request for Proposals (RFP) process in 2004, for printing the Activities Guide. On May 26, <br />2004, 31 RFPs were issued, and seven (7) proposals were received by the stated deadline. <br />Proposals were reviewed by staff from Parks and Community Services and Central Services. <br />Based on the quality of its proposal, related experience, and reference checks, Casey Printing, <br />Inc. of King City, California was determined to be the most responsive company to provide <br />these services. <br />Due to challenges with the previous printing contractor, staff believed at the time that a one (1) <br />year contract was appropriate, which the City Council approved in September 2004 for $40,016. <br />On September 1,2005, an amendment to the contract was executed by the City Manager in the <br />amount of $1,455.10, bringing the total contract to $41,471.10 (lower than the annual cost for <br />the previous contractor). During the contract period, Casey Printing, Inc., has provided an <br />excellent work product, demonstrated flexibility with changing timelines, and met all delivery <br />deadlines in a timely manner. City staff and Casey Printing representatives both wish to extend <br />the contract for one-year, and retain the right to extend the contract up to two (2) additional <br />years by mutual agreement of both parties. <br />FISCAL IMPACT <br />Due to slight increases in the cost of paper, ink and gasoline (for delivering the brochures), <br />Casey Printing, Inc., proposes to provide printing services for four (4) quarterly brochures at a <br />cost of $47,138.72 per year. <br />Respectfully Submitted, <br /> ~~. <br />J s W.
