Page 2 of 3 <br />work will be done periodically by City staff.Because the downtown area experiences <br />substantial pedestrian and vehicle traffic, it is swept twice a week to address the continuous <br />accumulation of debris and to maintain a clean and safe environment. <br /> <br />DISCUSSION <br />As the current Street Sweeping Maintenance services agreement expires on July 30, 2024, a <br />Request for Bid (RFB) was formally advertised in May 2024. One proposal was received by <br />SCA on May 16, 2024. SCA is the current vendor, and staff is confident SCA will continue to <br />perform the service satisfactorily. SCA has been provided with a detailed scope of work, as <br />outlined in Exhibit A of the Maintenance Service Agreement. <br /> <br />Having an agreement ensures a fixed cost for street sweeping services, providing financial <br />predictability while safeguarding against potential inflation and cost variances associated with <br />emergency services. The total compensation for the first three years of the agreement with <br />SCA of CA, LLC is set at $1,341,437 based on an annual breakdown: <br />• FY 2024/25: $435,825 <br />• FY 2025/26: $445,540 <br />• FY 2026/27: $460,072. <br /> <br />These amounts include a 10 percent contingency provision, which is allocated for unforeseen <br />circumstances and additional services the City may require. This contingency ensures the City <br />remains prepared for variable demands and can manage unexpected issues as they arise. <br />Should the City need to reduce costs, the City may terminate the agreement at any time by <br />mailing a notice to the contractor per Section 10.a of the agreement. <br /> <br />EQUITY AND SUSTAINABILITY <br />Not applicable, as this item is a routine matter of City business. <br /> <br />OUTREACH <br />No outreach was conducted, as this item is a routine matter of City business. <br /> <br />STRATEGIC PLAN ALIGNMENT <br />Approval of this action advances the Citywide ONE Pleasanton strategic plan goal of Investing <br />in Our Environment which promotes effective use of existing facilities through maintenance <br />and repair. <br /> <br />FISCAL IMPACT <br />Funding for this contract is included in the General Fund's Traffic Maintenance Operations <br />budget (Org 00140201).
