Additionally, staff reviewed over 30 field allocation policies of <br />cities throughout the state, with a specific focus on Bay Area cities to create a <br />comprehensive document based upon best practices to serve the Pleasanton <br />community. A list of the outside agencies’ policies that were reviewed and document <br />links can be found in Attachment 3. The current co-sponsored groups have reviewed <br />the handbook and provided feedback. Many points of feedback have been incorporated <br />into the handbook. Staff received and replied to each response. Specific feedback and <br />staff responses have been included in Attachment 4. <br />The purpose of the handbook is to prioritize field allocation to resident co-sponsored <br />sports organizations, provide equitable means of sharing City facilities, ensure inclusive <br />recreational opportunities for Pleasanton residents, and incorporate field recovery <br />periods to protect and maintain safe, quality fields. <br />Key aspects of the handbook are summarized below: <br />Sports Organization Co-Sponsored User Group Meetings <br />The Pleasanton Sports Co-Sponsored User Group is a consultive group comprised of <br />one representative from each Sports Co-Sponsored User Group and City staff from the <br />Library and Recreation Department and Public Works Department. The Sports Co- <br />Sponsored User Group meets once every quarter to discuss field allocations and other <br />items pertaining to schedules, facilities, and maintenance, as well as receive City <br />updates. There are no elected or appointed board members, meeting minutes, or items <br />up for vote as these meetings are informational. Attendance at the quarterly Sports Co - <br />Sponsored User Group Meetings is required to maintain co-sponsorship status. <br />Field Allocation Process <br />1.
