8. Q: The new proposal notes that when we order golf carts for our tournaments,
transportation of spectators, officials, participants is strictly prohibited. This defeats
the entire purpose of having these necessary golf carts. They are needed to
transport injured players to the medical tent and officials to their games when at
Ken Mercer (huge park with referees working games one end of the park to the
other, and not enough time to walk the distance and stay on schedule between
games). We book these through a third party and assume all liability.

A: We will confer with the City Attorney’s Office and report back to you. Thank
you.

9. Q: The new proposal lists that all non-use must be made a minimum of five (5)
business days in advance. We have recently been told many times that the city
understands and will work with us due to last minute cancellation requirements
ranging from inclement weather or air, to a sick coach, an opponent canceling last
minute, etc. The policy should mirror this communication we have been receiving.

A: We understand unexpected cancellations may occur, particularly with volunteer
coaches. We will add a note into the handbook.

10. Q: The new proposal notes that the city provides LAX goals. With this inclusion, it
should also note the 6 soccer goals provided by and maintained by the city at
Stanford Medicine Sports Park.

A: Yes, we will add 6 soccer goals provided and maintained by the City into the
handbook.

11. Q: Field status/closures: This is updated by 3 p.m. on weekdays. However,
training traditionally starts at 4 pm. Would it be possible to consider moving this
decision time up to 2 pm to assist with parents coordinating their schedules and
the time required for transportation logistics to practice?

A: Staff have no issues changing the time to 2:00 pm. At an earlier time, we will
likely default to a more conservation decision. We practiced at 3:00 pm in hopes
that wet fields would be able to dry out more and allow for play in the evening. We
will discuss this as a group at our next scheduled Sports Co-Sponsor User Group
Meeting.

12. Q: Field status/closures: Can you please consider timestamping the last update at:
https://www.cityofpleasantonca.gov/gov/depts/cs/sports/field.asp with field
conditions and availability? Sometimes you make decisions before 3 pm but we
never know if we are looking at today’s status or the status from the day before.

A: Most days throughout the year do not require field accessibility updates. Staff
will ensure websites are updated on questionable days, as well as send an email
