THE CITY OF <br /> ® R-° ' ot.�T., "" CITY COUNCIL AGENDA REPORT <br /> PLEASANTON, <br /> November 7, 2023 <br /> Community Development <br /> TITLE: APPROVE A ONE-YEAR RENEWAL ORDER WITH ACCELA FOR LAND <br /> MANAGEMENT SOFTWARE LICENSING AND SUPPORT SERVICES IN <br /> THE AMOUNT OF $97,678, FOR A NEW TOTAL LICENSE AGREEMENT <br /> COST OF $321,008 FOR THE FOUR-YEAR TERM THROUGH 2025 <br /> SUMMARY <br /> The City has utilized Accela as its land management software system since 2011 and <br /> has approved renewal agreements for software licensing and support at different <br /> intervals, from one-year to three-year terms. <br /> The current license agreement had an initial term of three years, which expires in <br /> December 2023. Staff recommends extending the term of the license agreement for one <br /> additional year. The cost for the one-year extension of licensing, support, and <br /> maintenance is $97,678, bringing the total cost for four years of licensing to $321,008. <br /> RECOMMENDATION <br /> Approve and authorize the City Manager to execute the attached Order Form with <br /> Accela for $97,678, extending the current license agreement for a period of one year <br /> (through December 13, 2024), for a new total licensing agreement cost of$321,008. <br /> FINANCIAL STATEMENT <br /> Funding for the cost of this extension is available and budgeted in the Permit Center <br /> Professional Services account. The existing budget in Fiscal Year 2023/24 is sufficient <br /> to cover this cost. <br />
