Funding forth ese agreements will be provided from CIP project budgets or reimbursed
by developers for each of the projects requiring these services. When a service is
needed for a specific project, the selected firm will be requested to submit a detailed
proposal, which defines the scope of work for the project and the fee required to
complete the task. Typically, such service support costs range between $5,000 and
$10,000 for each capital improvement project and are dependent on the size, type of
services and complexity of the job. Upon review and approval of the proposal, City staff
then issues a task authorization letter providing authorization to proceed with the work.
Staff recommends authorizing the Director of Engineering or designee to approve
routine task authorizations up to $100,000.
Task authorizations above $100,000 will be submitted to City Council for consideration.
If submitted to City Council for consideration, and depending on the circumstances, staff
may also recommend the work be considered as a separate agreement and excluded
from the established not-to-exceed aggregate amount of$400,000.
Approval of these agreements authorizes staff to spend up to the aggregate amount of
$400,000 between the two firms over a three-year period, which may consist of 30 to 40
separate project task authorizations over the term of the agreements.
Submitted by: Fiscal Review: Approved by:
Adam Nelkie Susan Hsieh Gerry Beaudin
Interim Director of Director of Finance City Manager
Engineering
Attachments:
1.
