Send the survey link to City staff for distribution. <br /> Analyze and prepare summary of the results. <br /> ■ Environmental Scan. City staff will prepare an environmental scan with advice from our team. <br /> An environmental scan will provide important information for discussions in the workshop <br /> described in Activity 3. Types of information that could be gathered for the environmental scan <br /> include: <br /> ■ Budget information and forecasts, <br /> • Service demand drivers; <br /> • Demographic trends and projections; <br /> • Infrastructure needs profile; and <br /> ■ Regional and state mandates. <br /> We will provide examples of environmental scans to staff. After City of Pleasanton staff prepares <br /> the scan, we will review it and provide feedback. We suggest staff present the information in a <br /> PowerPoint format. It will be a useful part of the discussions in the first workshop. <br /> We will summarize the results of the data gathering, for use in the first strategic planning workshop as <br /> described in Activity 3 below. <br /> We will meet with you to review the information gathered. <br /> Activity 3 — Design and Facilitate Executive Team Workshop <br /> During this activity, we will prepare for and facilitate a full-day workshop on site with the City's executive <br /> team. This will be conducted in person. <br /> Workshop Preparation. To prepare for the workshop, we will complete the following tasks. <br /> • Prepare draft agenda. We will prepare a detailed agenda for the workshop. <br /> • Prepare workshop materials. Management Partners will prepare a PowerPoint slide deck, and a <br /> workbook for the workshop, which will include the results of information gathered in Activity 2. <br /> We will meet with you to review the draft materials for the workshop and finalize them after receiving your <br /> input. The workbook and other handouts will be provided to the City to be copied for the workshop. <br /> During the workshop we will engage executive team members in a dialogue about the following items: <br /> ■ Results of the data gathering (employee and community surveys, community input sessions, mid- <br /> manager focus groups, gap analysis, and environmental scan); <br /> • Vision, mission, and values; <br /> • Long-range goals; <br /> • Strategies to achieve the goals; <br /> • How success will be measured; and <br /> • Agenda for the Council/executive team strategic planning workshop. <br /> Our workshops are engaging and interactive and include teambuilding activities. We will work in a <br /> combination of small and large groups to ensure full participation and meaningful dialogue. <br /> Summarize workshop results. After the workshop, we will summarize the results and incorporate them <br /> into a draft Strategic Plan (as described below). <br /> Activity 4 — Design and Facilitate Council/Executive Team Strategic Planning <br /> Workshop <br /> During this activity we will prepare for and facilitate the second one-day strategic planning workshop <br /> which will be held with the Council and executive team. This will be conducted in person. <br /> Workshop Preparation. To prepare for the workshop, the following tasks will be completed. <br /> • Prepare draft agenda.
