As part of the <br /> process, a reporting structure and timeline is created. It can range from a quarterly update of <br /> each goal and strategy, to a semi-annual review, once as part of the budget process and again in <br /> six months, with adjustments made to reflect changing conditions and accomplishments. <br /> Proposed plan of work <br /> Based on our experience with strategic planning and our understanding of your needs, we have prepared <br /> Our process provides for ongoing and meaningful collaboration between our staff and yours. We will <br /> provide expert advice, facilitation, and preparation of the strategic plan document and all its component <br /> parts. Throughout the engagement, we will be collaborating with you to ensure the desired results are <br /> achieved. We envision a combination of remote and in-person work. We expect to conduct meetings <br /> remotely and hold workshops in person. <br /> We will facilitate the following workshops. <br /> • First workshop: Executive team. Outcomes: Feedback on the data gathered in advance, to <br /> prepare for the Council workshop. <br /> • Second workshop:Council and executive team. Outcomes: Feedback and direction on draft <br /> goals and strategies; Council priorities for the first two years of the Strategic Plan. Determine how <br /> success will be measured and progress will be reported. <br /> • Optional Third workshop: With management team. Outcomes: Create an implementation action <br /> plan for the Strategic Plan to identify milestones, timelines, resources and assignments. <br /> City staff will be integrally involved in developing the Strategic Plan. The table below shows the <br /> anticipated roles of the Pleasanton staff and our team. <br /> ManagementCity Staff - - <br /> • Schedule meetings and handle workshop <br /> logistics <br /> • Participate in gap analysis • Design overall process and create detailed <br /> • Arrange for all staff to participate in the schedule <br /> employee survey • Provide guidance for environmental scan <br /> • Prepare environmental scan • Design and administer questionnaires <br /> • Manage communications with stakeholders • Facilitate workshops <br /> • Facilitate community input sessions • Provide guidance and training pertaining to <br /> • Finalize Strategic Plan with graphic designer stakeholder engagement <br /> • Prepare draft Strategic Plan <br /> • Present Strategic Plan to City Council <br /> • Provide language translations, as desired, of • Create Implementation Action Plan <br /> any documents <br /> Activity 1 — Start Project and Conduct Kickoff Meeting <br /> Our team will begin with an initial meeting with you and your project team.
