THE CITY OF <br />ftll11 � Baa ��: i1 0l-�� i <br />PLEASANTON. <br />CITY COUNCIL AGENDA REPORT <br />CI <br />June 21, 2022 <br />City Manager <br />TITLE: APPROVE AN AGREEMENT WITH OFFICE DEPOT FOR PURCHASE OF <br />OFFICE SUPPLIES AND PAPER FOR ALL CITYWIDE DEPARTMENTS IN <br />COMPLIANCE WITH STATE LAW SB 1383 IN THE AMOUNT NOT -TO - <br />EXCEED $300,000 FOR AN INITIAL TWO-YEAR TERM WITH OPTION TO <br />EXTEND THE AGREEMENT <br />SUMMARY <br />On May 3, 2022, the City Council adopted a resolution amending the City Administrative <br />Policy: Purchasing Procedures and Manual (Purchasing Policy) to comply with State law <br />SB 1383. Under SB 1383, the City is required to procure recycled paper products which <br />extends to printing paper. In alignment with the Purchasing Policy, the City of Pleasanton <br />conducted a Request for Proposals (RFP) for procurement office supplies and paper for all <br />citywide departments. <br />RECOMMENDATION <br />The Council is asked to approve an agreement with Office Depot for centralized purchase <br />of office supplies and paper for all citywide departments in the amount not -to -exceed <br />$300,000 for an initial two-year term with the option to extend the agreement for three one <br />year terms. <br />FINANCIAL STATEMENT <br />Over the past three fiscal years, the average annual budget for office supply purchases <br />across all City departments was approximately $140,000 — FY 19/20 ($159,270), FY 20/21 <br />($130,310), and FY 21/22 ($134,970). Staff is budgeting an annual amount of $150,000 <br />under this agreement as costs in those years were during the pandemic with reduced <br />demand. on supplies and do not reflect the same level of recycled paper content <br />procurement as is now required. <br />
