CITY COUNCIL AGENDA REPORT <br /> PLEASANTON. <br /> June 7, 2022 <br /> Engineering <br /> TITLE: APPROVE A MAINTENANCE AGREEMENT WITH TERRA LANDSCAPE <br /> IN THE AMOUNT OF $112,090 FOR LANDSCAPE MAINTENANCE <br /> SERVICES AT THE CITY OF PLEASANTON'S FIVE LANDSCAPE <br /> MAINTENANCE DISTRICTS <br /> SUMMARY <br /> The Landscape Architecture Division of the Engineering Department is responsible for <br /> managing the maintenance of the city of Pleasanton's five Landscape Maintenance <br /> Districts (LMD): 1984-1 Ponderosa, 1993-1 Windsor, 1993-2 Bonde Ranch, 1994-1 Oak <br /> Tree Farm, and 1995-1 Moller Ranch. Staff contracts with a landscape maintenance <br /> contractor to perform the landscape maintenance. The existing agreement is set to <br /> expire on June 30, 2022; therefore, a new maintenance agreement will be required. <br /> A Request for Proposals (RFP) for landscape maintenance services for the LMDs was <br /> distributed on April 29, 2022. Four qualified landscape contractors submitted bid <br /> packages. Based on the evaluation criteria in the RFP, Terra Landscape was selected <br /> as the most qualified firm. Terra Landscape provided the most comprehensive <br /> understanding of the scope of work, maintenance goals and limitations, budget, and <br /> necessary levels of communication, and proposed an organized and efficient approach <br /> to performing the work on time. Terra Landscape outlined its staff resources and <br /> highlighted its willingness to partner with the city to accomplish the anticipated work as <br /> effectively as possible. Terra also has a proven track record of sufficiently maintaining <br /> the LMDs as it is the current maintenance contractor for all five of the LMDs and has <br /> been for the last four to ten years depending on the district. <br /> Staff recommends that the City enter into a one-year agreement with Terra Landscape <br /> starting on July 1, 2022, for a total not-to-exceed amount of$112,090 and with the <br /> option to extend the agreement by four one-year terms, not to exceed five years in total. <br /> The not-to-exceed agreement total includes $12,840 for 1984-1 Ponderosa, $10,800 for <br /> 1993-1 Windsor, $23,720 for 1993-2 Bonde Ranch, $19,920 for 1994-1 Oak Tree Farm, <br /> and $44,810 for 1995-1 Moller Ranch. <br /> RECOMMENDATION <br /> Approve and authorize the City Manager to execute the agreement with Terra <br /> Landscape for the maintenance of the city of Pleasanton's five Landscape Maintenance <br /> Districts. <br />
