2. Utilize tasks and checklists on work orders to create customized items to be
completed for a particular work activity. This will help standardize work orders,
work requests, and tasks by providing pre -coded drop-down selections and
making reporting easier.
3. User -defined dashboards show query results in graphs, charts, maps, and grid
formats. MaintStar's new user dashboard exceeds the detail and capabilities of
others without having to purchase extra add-ons.
4. GIS mapping is now connected via feature map services, and users can edit
attributes, or geometry. MaintStar's GIS connectivity is on par with Cityworks,
NexGen, Sedaru, and other CMMS systems and provides users the capability to
interact with the data and provide feedback to the GIS staff for updating.
5. The user screens are very intuitive and easy to use. A bonus is that the user
interface is customizable and easy to configure. Notifications can be sent for
actions via email and/or text that is easily configurable by a workgroup.
6. The MaintStar mobile application is a more streamlined version of the desktop
software with the same ease of use and real-time updates and can be used in an
offline mode when connectivity is difficult. This is a feature that has not been
available to OSD and is one of critical importance. Staff could now receive and
complete work orders without being in the office.
Based on the GHD evaluation and recommendation, staff concludes that MaintStar
Version 15 will provide substantial benefits to OSD and is worth the continued City
investment. Therefore, staff recommends proceeding with implementing MaintStar
Version 15.
MaintStar will provide complete implementation services and configuration of Version 15
of the MaintStar CMMS system as defined by the tasks outlined below. The system
implementation will take approximately four to eight weeks to complete. The software
service agreement with MaintStar is structured to be an annual contract with the City
having the option to renew each year over a period of four years. MaintStar will be
providing several software modules including the main system Version 15, a mobile
work order platform, a public facing portal, a fleet module, and a mobile citizen
application.
The agreement costs consist of one-time software licenses and implementation fees,
annual support and hosting costs, and training fees. The following table summarizes the
costs for the software modules and service fees plus the five-year agreement total cost.
