2. Utilize tasks and checklists on work orders to create customized items to be <br />completed for a particular work activity. This will help standardize work orders, <br />work requests, and tasks by providing pre -coded drop-down selections and <br />making reporting easier. <br />3. User -defined dashboards show query results in graphs, charts, maps, and grid <br />formats. MaintStar's new user dashboard exceeds the detail and capabilities of <br />others without having to purchase extra add-ons. <br />4. GIS mapping is now connected via feature map services, and users can edit <br />attributes, or geometry. MaintStar's GIS connectivity is on par with Cityworks, <br />NexGen, Sedaru, and other CMMS systems and provides users the capability to <br />interact with the data and provide feedback to the GIS staff for updating. <br />5. The user screens are very intuitive and easy to use. A bonus is that the user <br />interface is customizable and easy to configure. Notifications can be sent for <br />actions via email and/or text that is easily configurable by a workgroup. <br />6. The MaintStar mobile application is a more streamlined version of the desktop <br />software with the same ease of use and real-time updates and can be used in an <br />offline mode when connectivity is difficult. This is a feature that has not been <br />available to OSD and is one of critical importance. Staff could now receive and <br />complete work orders without being in the office. <br />Based on the GHD evaluation and recommendation, staff concludes that MaintStar <br />Version 15 will provide substantial benefits to OSD and is worth the continued City <br />investment. Therefore, staff recommends proceeding with implementing MaintStar <br />Version 15. <br />MaintStar will provide complete implementation services and configuration of Version 15 <br />of the MaintStar CMMS system as defined by the tasks outlined below. The system <br />implementation will take approximately four to eight weeks to complete. The software <br />service agreement with MaintStar is structured to be an annual contract with the City <br />having the option to renew each year over a period of four years. MaintStar will be <br />providing several software modules including the main system Version 15, a mobile <br />work order platform, a public facing portal, a fleet module, and a mobile citizen <br />application. <br />The agreement costs consist of one-time software licenses and implementation fees, <br />annual support and hosting costs, and training fees.
