I 4 <br /> THE CITY OF <br /> CITY COUNCIL AGENDA REPORT <br /> PLEASANTON <br /> September 21, 2021 <br /> Operations Services <br /> TITLE: APPROVE AGREEMENT WITH TERRA LANDSCAPE FOR <br /> MISCELLANEOUS LANDSCAPE SERVICES AT VARIOUS CITY <br /> OWNED LANDSCAPES IN THE AMOUNT OF $2,029,542 FOR A <br /> THREE-YEAR TERM <br /> SUMMARY <br /> The Parks Division of the Operations Services Department is responsible for <br /> maintaining City owned landscapes and parks. The Parks Division uses a landscape <br /> maintenance contractor to perform landscape maintenance of City owned medians, <br /> Main Street planters, Main Street sidewalk blowing, planting areas at fire stations 1, 2, <br /> 3, 4 and 5, and will use these services in the future Transportation Corridor parking lot <br /> and pathway. <br /> A Request for Proposals (RFP) for miscellaneous landscape services at various City <br /> owned landscapes was distributed on August 6, 2021 . Based on the evaluation criteria <br /> in the RFP, Terra Landscape was selected as the most qualified firm. Terra Landscape <br /> provided the most comprehensive understanding of the project goals, an organized and <br /> efficient approach to performing the work in a timely manner, streamlined <br /> communications for immediate contact with field crews, demonstration of adequate staff <br /> resources, and a willingness to foster a partnership to accomplish the anticipated work. <br /> Staff recommends that the City enter into a three-year agreement with an option to extend <br /> the agreement for two (2), one-year terms, not to exceed five years total with Terra <br /> Landscape starting September 22, 2021, for a not-to-exceed amount of $2,029,542, <br /> which includes $300,000 for Main Street planter renovations and a ten percent <br /> contingency for unforeseen circumstances and related extra services as determined <br /> necessary by the City. The sixty-two planters on Main Street are replanted three times <br /> per year, which may include the complete removal and replacement of the soil and <br /> irrigation in the planters. <br /> RECOMMENDATION <br /> Approve and authorize the City Manager to execute agreement with Terra Landscape <br /> for miscellaneous landscape services in the amount of $2,029,542 including a ten <br /> percent contingency. <br />
