believes these three firms are the most qualified to provide the required general civil <br /> engineering services for the fiscal years 2021- 2024. <br /> The term of the on-call contracts is for three years with the option of two one-year <br /> extensions if mutually agreed upon. <br /> Funding for these contracts will be provided from CIP project budgets for each of the <br /> projects requiring these services as assigned and authorized. When a service is needed <br /> for a project, the selected firms will be requested to submit a detailed proposal, which <br /> defines the scope of work for the project and the fee required to complete the task. <br /> Typically, such service support costs range between $10,000 and $100,000 for each <br /> Capital Improvement Project and are dependent on the size, types of services and <br /> complexity of the job. Upon review and approval of the proposal, staff will issue a task <br /> authorization letter providing direction to proceed with the work. Staff recommends <br /> authorizing the Director of Engineering to approve task authorizations up to $100,000. <br /> Approval of these contracts authorizes staff to spend up to the aggregate amount of <br /> $1 million between the three firms over a three-year period, which will likely consist of <br /> 10 to 20 separate project authorizations over the life of the contracts. <br /> Task authorizations above $100,000 will be submitted to City Council for consideration. <br /> If submitted to City Council for consideration, and depending on the circumstances, staff <br /> may also recommend the work be considered as a separate contract and not count <br /> toward the established not-to-exceed aggregate amount of$1 million. <br /> Submitted by: Fiscal Review: Approve y: <br /> Stephen Kir atrick Tina Olson Nelson Fialho <br /> Director of Engineering Director of Finance City Manager <br /> Attachments: <br /> 1.
