believes these three firms are the most qualified to provide the required general civil
engineering services for the fiscal years 2021- 2024.
The term of the on-call contracts is for three years with the option of two one-year
extensions if mutually agreed upon.
Funding for these contracts will be provided from CIP project budgets for each of the
projects requiring these services as assigned and authorized. When a service is needed
for a project, the selected firms will be requested to submit a detailed proposal, which
defines the scope of work for the project and the fee required to complete the task.
Typically, such service support costs range between $10,000 and $100,000 for each
Capital Improvement Project and are dependent on the size, types of services and
complexity of the job. Upon review and approval of the proposal, staff will issue a task
authorization letter providing direction to proceed with the work. Staff recommends
authorizing the Director of Engineering to approve task authorizations up to $100,000.
Approval of these contracts authorizes staff to spend up to the aggregate amount of
$1 million between the three firms over a three-year period, which will likely consist of
10 to 20 separate project authorizations over the life of the contracts.
Task authorizations above $100,000 will be submitted to City Council for consideration.
If submitted to City Council for consideration, and depending on the circumstances, staff
may also recommend the work be considered as a separate contract and not count
toward the established not-to-exceed aggregate amount of$1 million.
Submitted by: Fiscal Review: Approve y:
Stephen Kir atrick Tina Olson Nelson Fialho
Director of Engineering Director of Finance City Manager
Attachments:
1.
