THE CITY OF CITY COUNCIL AGENDA REPORT PLEASANTON 14 October 6, 2020 Operations Services TITLE: APPROVE AGREEMENT WITH WEST COAST ARBORIST, INC. IN THE AMOUNT OF $1,966,000 FOR ANNUAL TREE MAINTENANCE, INVENTORY MANAGEMENT, AND ARBORIST SERVICES SUMMARY A Request for Proposal (RFP) seeking tree trimming and removal, inventory management and arborist services was advertised in August 2020. Upon review of the four submitted proposals West Coast Arborist (WCA) was selected as the most qualified contractor. WCA provides tree consulting services, emergency tree response, and currently maintains trees throughout City parks, medians, parking strips, and facility landscapes. The proposal is to award WCA a three (3) year not -to -exceed agreement in the amount of $1,966,000 for tree trimming, removal, inventory management and consulting services, and for additional services rendered in August 2020. RECOMMENDATION Authorize the City Manager to approve a three-year maintenance services agreement with West Coast Arborist for tree trimming, removal, inventory management, and consultant services, for a total of $1,966,000 with a not to exceed amount of $524,000 for FY 2020-21, $648,000 for FY 2021-22, and $667,000 for FY $667,000 for FY 2022- 23 and retroactive approval of additional work completed in August and September 2020 totaling $127,000. FINANCIAL STATEMENT The total not -to -exceed amount is $1,966,000 for three (3) years and retroactive approval of $127,000 for additional tree services rendered in August and September 2020. The Operations Services Department administers this contract and there is sufficient funding for tree services totaling $778,000 for FY 2020-21 in the Parks Internal Services Fund.
