BACKGROUND
Information Technology posted an RFP on the City web site on April 20, 2018. Ray
Morgan Company was selected as the most qualified vendor for our MPS program.
Their proposal was judged responsible, competitive, and met all criteria and
requirements in the RFP. The annual costs of$65,000 per year was an all-inclusive
comprehensive program that included support and maintenance of the City's 74 printers
of various models throughout the city departments. This amount was also to include all
consumable print supplies (excluding paper), and any print overages from the
contracted allowed print impressions of the MPS agreement. This agreement was for 5
years.
Council approved this agreement on July 17, 2018. Since that time, departments that
have individual leases for departmental MFP's with various vendors, have decided to
move their MFP's under the umbrella of the MPS program managed by IT as their
leases expire.
DISCUSSION
The proposed First Amendment to the agreement with Ray Morgan Company adds an
additional $25,000 to the agreement for the purposes of adding additional MFP
equipment to the current plan. This will allow staff to manage and maintain most of the
city's printer/scanner/copiers under a single plan. As a result, staff expects there will be
cost reductions and efficiencies to the administration and management of the city's
printing environment.
Staff recommends adding the additional amount to the original 5-year agreement to
bring this additional printer equipment within the current MPS program.
Submitted s• Fiscal Review: Approved y:
it'
Allen H.mm.'nd Tina Olson Ne on Fialho
Dire • IT Director of Finance City Manager
Attachments:
1.
