BACKGROUND <br /> Information Technology posted an RFP on the City web site on April 20, 2018. Ray <br /> Morgan Company was selected as the most qualified vendor for our MPS program. <br /> Their proposal was judged responsible, competitive, and met all criteria and <br /> requirements in the RFP. The annual costs of$65,000 per year was an all-inclusive <br /> comprehensive program that included support and maintenance of the City's 74 printers <br /> of various models throughout the city departments. This amount was also to include all <br /> consumable print supplies (excluding paper), and any print overages from the <br /> contracted allowed print impressions of the MPS agreement. This agreement was for 5 <br /> years. <br /> Council approved this agreement on July 17, 2018. Since that time, departments that <br /> have individual leases for departmental MFP's with various vendors, have decided to <br /> move their MFP's under the umbrella of the MPS program managed by IT as their <br /> leases expire. <br /> DISCUSSION <br /> The proposed First Amendment to the agreement with Ray Morgan Company adds an <br /> additional $25,000 to the agreement for the purposes of adding additional MFP <br /> equipment to the current plan. This will allow staff to manage and maintain most of the <br /> city's printer/scanner/copiers under a single plan.
