CITY COUNCIL AGENDA REPORT <br /> April 18, 2017 <br /> Engineering <br /> TITLE: APPROVE ON-CALL GENERAL LANDSCAPE ARCHITECTURAL <br /> PROFESSIONAL SERVICES CONTRACTS WITH THE FIRMS OF <br /> CALLANDER ASSOCIATES LANDSCAPE ARCHITECTURE, INC., MOORE <br /> IACOFANO GOLTSMAN, INC., AND ROYSTON HANAMOTO ALLEY & <br /> ABEY <br /> SUMMARY <br /> The City has a need for general landscape architectural professional services for various <br /> projects. In January 2017, City staff advertised a Request for Qualifications (RFQ) <br /> package, requesting Statements of Qualifications (SOQ)from firms interested in providing <br /> the needed services. In response, seventeen landscape architecture firms submitted an <br /> SOQ. Staff reviewed the SOQs and invited the top six firms for an interview. Based on <br /> each firm's stated qualifications, interview performances, and responses to inquiries of <br /> their references, staff recommends that the City Council award contracts to three firms: <br /> Callander Associates Landscape Architecture, Inc., Moore lacofano Goltsman, Inc., and <br /> Royston Hanamoto Alley &Abey. Staff recommends the contracts cover approximately a <br /> three-year period from April 30, 2017, to June 30, 2020, and have an aggregate total not- <br /> to-exceed contract amount of $500,000. Although the recommended aggregate not-to- <br /> exceed total is $500,000 over the three-year term, there is no guarantee that the$500,000 <br /> will be expended during the term, and there is no amount of work guaranteed to any of the <br /> three firms. Work will be assigned by task authorization based solely on recognized need. <br /> RECOMMENDATION <br /> 1. Approve professional services contracts with Callander Associates Landscape <br /> Architecture, Inc., Moore lacofano Goltsman, Inc., and Royston Hanamoto Alley & <br /> Abey to provide on-call general landscape architectural professional services in the <br /> total aggregate not-to-exceed amount of$500,000 between April 30, 2017, and June <br /> 30, 2020. Approve two possible one-year extensions at the City's sole discretion. <br /> 2. Authorize the City Manager to execute the attached contracts. <br /> 3. Authorize the Director of Engineering to approve task authorizations up to $75,000. <br /> FINANCIAL STATEMENT <br /> No additional funding is needed to approve these consultant contracts. Funding for these <br /> contracts will be budgeted under each individual Capital Improvement Program (CIP) <br /> project, come from developer fees, or from the annual Operating Budget if necessary to <br /> support park or other landscape maintenance activities. <br />
