Project Initiation and Management <br /> Task 1.1 Project Kick-off Meeting — <br /> _ _ V"b —Wir <br /> The BKF Team will facilitate a kick-off meeting with the CITY to: <br /> ' <br /> • Introduce key team members and describe roles <br /> • Discuss the goals, objective sand concerns of the Project - E <br /> • Review the scope of services 4 - <br /> • Confirm the study area <br /> • Start initial collection of data <br /> • Establish meeting and any presentation schedule <br /> • Develop communication protocols - - <br /> Changes to the scope of work will be made, if necessary, at the conclusion of this effort, and a revised scope and schedule <br /> will be submitted to the CITY. <br /> Task 1.2 Project Management and Staff Coordination <br /> This task consists of the confirmation of the Project Management Plan, communications <br /> the City's project manager, coordination with City staff, communications with the <br /> Project team, and the preparation of progress reports and invoices. " • <br /> A Project Management Plan will be prepared to provide detailed information on the <br /> Project scope, a milestone list and baseline schedule to include interim and final . t .- #M <br /> milestones, a work breakdown structure, and specific management plans for potential – <br /> scope changes, communications, cost control, quality control, and staffing. <br /> The BKF team's project manager will communicate regularly with the City project , - ---rj+'f <br /> manager, including weekly phone and/or in-person meetings. The team will coordinate _ <br /> with agency staff throughout the project's duration, including City staff working on the • <br /> project. Coordination will consist of emails, phone calls, and up to five meetings to gather <br /> data and review guidelines, analysis and concepts. <br /> The team will prepare progress reports and invoices on a monthly basis. The progress <br /> reports will include a description of work completed, potential issues and resolutions, <br /> budget status, and schedule status. <br /> Task 1. 3 Meetings <br /> Working with the CITY, BKF will set upcoming meeting strategies and dates to include: <br /> • Design Review Meetings to consist of review meetings with the CITY and appropriate stakeholders. BKF will <br /> discuss strategy with the CITY and confirm if and when a meeting should be set with Caltrans to discuss the Project <br /> and potential design recommendations. <br /> • Site Visit: BKF will suggest the CITY and Project stakeholders attend a field review for the Project sites. BKF will <br /> lead the field review of the Project areas to observe existing pedestrian and bicycle circulation issues.
