BACKGROUND
The City has over 100 facilities it maintains and half of those facilities have heating and
air conditioning units that require regular, preventative maintenance and repair services.
Annually, the Operations Services Department does a call for bids for various services,
this process was conducted in spring 2012 and at its June 5, 2012 meeting, the City
Council approved "As Needed" contracts for various services for the Operations
Services Department. At that time, the City selected two vendors to provide heating and
air conditioning repair and maintenance services, however, having two vendors has
been problematic with each vendor having its own parts, service levels and practices,
causing inconsistencies with our equipment.
As part of the budget process, the Operations Services Department assess its "As
Needed" contract services and during the Mid-Year and Midterm Budget processes it
was determined that an additional $25,000 was needed to continue to maintain and
service the City's heating and air conditioning systems through ACCO Engineering
Systems Inc. The total contract amount will not exceed $125,000 per year and the term
will expire June 30, 2015.
Sub lei by Fiscal Review:.
