next 18 months to the extent those events are known, with opportunities for changes or <br /> additional dates as provided below. <br /> Within five (5) working days of each calendar quarter beginning in April, the Committee may <br /> submit to the City Liaison a listing of dates and times for VOP sponsored events that are <br /> Veterans' related in the Main Hall /Stage /Kitchen, except the Veterans' Rooms, for dates and <br /> times not otherwise reserved for City activities. <br /> The Committee may at any time submit a request to the City Liaison to use the Facility for a <br /> VOP sponsored event that is Veterans' related thirty (30) days before the intended use in the <br /> Main Hall /Stage /Kitchen, except the Veterans' Rooms, for any date and time not otherwise <br /> used by the City. <br /> The VOP Committee Chairperson or their designee is required to submit a City of Pleasanton <br /> Facility Rental Application to the Parks and Community Services Office at the time of <br /> submitting the 18 month calendar, but no later than thirty (30) calendar days prior to any event <br /> date. Any changes or modifications to events submitted on the 18 month calendar must be <br /> made in writing by the VOP to the City as soon as possible, but no later than two (2) weeks <br /> prior to an event. <br /> B. The City may reserve the Facility, with the exception of the Veterans' Rooms, for any <br /> educational, social or recreational function at all times not reserved by the VOP as described <br /> above. <br /> C. Any activity in the building is subject to all the requirements and regulations of the City, and <br /> must comply with all County, State and Federal laws. Attached is a copy of the Department of <br /> Parks and Community Services Facility Rental Information. <br /> D. If for any reason the VOP no longer needs a reserved date for use of the Main <br /> Hall /Stage /Kitchen, it shall notify the City Liaison as soon as possible. <br /> 6. Banners Displayed. <br /> Prior to hanging any banner, the VOP Chairperson or their designee must contact the City Liaison <br /> to find out if any rentals are taking place during the requested hanging period. At this time the <br /> specific banner information must be provided to the City Liaison. <br /> The City Liaison will contact the rental applicant to see if there is any reason for the banner to <br /> interfere with the renters function. If the rental applicant does feel that the banner will interfere <br /> with its planned activities, the City Liaison will contact the VOP Chair or their designee and ask to <br /> have the banner taken down during the specified rental date and time. <br /> Banners shall not be hung longer than one month in advance of any VOP event. <br /> All banners should be in good condition, without rips, tears and must be legible. <br /> Amended July 2010 <br /> Joint Agreement <br /> Veterans Memorial Building at 301 Main Street <br /> Page 4 of 7 <br />
