March 22, 1976 <br /> <br />TO: <br /> <br />FROM: <br /> <br />SUBJECT: <br /> <br />CITY COUNCIL ~ <br />cc: City ~nager <br /> <br />MAYOR PHILCOX <br /> <br />Clarification of City Office Use and Supplies <br /> <br />Some questions have arisen with regard to Council supplies, materials, and <br />office procedures. The purpose of this memorandum is to clarify my position <br />with regard to these items. <br /> <br />Supplies - It is the City's policy to provide basic office supplies to <br />members of the Council for City business. Those persons wanting these <br />types of materials should contact Doris George or Marion Brooks. <br /> <br />Filing Cabinets - The City has in the past and will in the future pro- <br />vide each member of the Council with a filing cabinet. The City Manager's <br />staff is now in the process of determining the type of filing cabinet <br />desired by each member of the Council. This will be implemented as soon <br />as possible. <br /> <br />Letterhead - Generally I am of the opinion that individual members of <br />the City Council should be able to have their names printed on City <br />stationary since the cost is insignificant if they so desire. Our <br />current letterhead, of course, does not include the names of Council <br />members. If, however, it is the desire of the majority of the Council <br />to include the names of the City Council on City stationary it is my <br />feeling that the entire City Council should be listed in order to pro- <br />Vide the greatest flexibility for the use of the stationary, and uni- <br />formity. Since this appears to be a concern of only one member of the <br />Council, I've asked the City Manager to proceed to print the stationary <br />with the one name rather than the entire Council at this time. <br /> <br />Dictation Unit - The City Manager has provided a dictation unit for <br />members of the Council which has been placed in the Mayor's office. <br />This unit is for the use of the entire City Council and should be <br />normally located in the Mayor's office. If, however, a member of the <br />Council wishes to use the dictation unit for an evening or over the <br />~;eekend I am generally inclined to think that this should be permitted <br />provided that the unit is brought back the following day or on Monday <br />following a weekend. <br /> <br />Processing of Letters - In the past it has been the policy of the City <br />to process routine letters by members of the City Council through the <br />City Manager's office in order to minimize duplication and maximtze <br />information to the City Council.
