11 <br /> THE CITY OF <br /> Ulu 111 <br /> CITY COUNCIL AGENDA REPORT <br /> PLEASANTON <br /> May 16, 2023 <br /> Information Technology <br /> TITLE: APPROVE PURCHASE AGREEMENT WITH KIS-KEEP IT SIMPLE FOR <br /> HYPER-CONVERGED INFRASTRUCTURE EQUIPMENT, VIRTUALIZATION <br /> SOFTWARE, AND PROFESSIONAL SERVICES FOR THREE YEARS IN <br /> THE AMOUNT OF $244,871 AND APPROVE AMENDMENT IN THE IT <br /> REPLACEMENT AND IMPROVEMENT FUND <br /> SUMMARY <br /> The City employs virtualization technologies to host many on-premise servers running <br /> multiple applications, services, and data repositories. The City's current virtualized <br /> infrastructure is built with different hardware technologies and physical equipment that <br /> facilitate computing and storage requirements. The current storage attached network <br /> (SAN) appliance is at the end of support. The SAN equipment for which the virtualized <br /> server environment relies on in three of the City's data centers must be replaced. This <br /> Dell vSAN Hyper-Converged equipment purchase will provide high-performance and <br /> high-availability hosting of the City's Virtual Machine (VM) infrastructure. <br /> RECOMMENDATION <br /> Staff recommends the City Council: <br /> • Approve a purchase of Dell vSAN Hyper-Converged equipment, software <br /> licensing, and professional services for three years with KIS-Keep IT Simple in <br /> the amount of $244,871 to support the replacement and upgrade of the legacy <br /> SAN equipment, and authorize the City Manager to execute a purchase order <br /> with Keep IT Simple (KIS). <br /> • Amend the FY2022/23 Budget Appropriation of the IT Replacement and <br /> Improvement fund by: <br /> c Increasing the Data Processing Equipment/Software appropriation by <br /> $244,871; and <br /> o Decreasing the IT Replacement and Improvement Fund Balance by <br /> $244,871 <br /> FINANCIAL STATEMENT <br /> The Information Technology Department assigns a useful life of five years to server <br /> storage equipment. The one-time cost of $244,871 for replacement of this equipment, <br /> licensing and related professional services are allocated from the Information <br /> Technology Repair and Replacement Fund. <br /> Page 1 of 3 <br />
